QuickBooks Time Team Members Cannot Sign In Until the Invite Is Sent
QuickBooks Time team members who are added but never invited cannot set up or use their accounts. The accepted fix walks through each step.
Community threads about QuickBooks Time keep circling back to one trap. A worker lands on the roster, the schedule looks right, and then the account simply refuses to work. The person has nothing to sign in to. The accepted answer to this problem is short, and it turns on a single rule: the invitation comes first.
Why can’t a new team member sign in?
The symptoms are consistent. The new hire appears under My Team, but there is no working sign-in behind the entry. Attempts to log in go nowhere, and re-adding the person changes nothing. Sometimes an invite was never sent. Sometimes it was sent and quietly never accepted.
The accepted answer, credited to Intuit, states the rule without hedging: a team member must be invited to QuickBooks Time before they can set up and use their account. Adding a record is not inviting. The requirement carries no listed exceptions, and it applies however the person got onto the list.
The invite can come from either side
One wrinkle confuses people at the start. If you manage users or payroll inside QuickBooks Online, invitations are handled on that side of the fence. You send them there, and the new person accepts from there. Everyone else invites people directly from QuickBooks Time.
Can you invite the whole team at once?
Yes, and it takes one screen. In QuickBooks Time, go to My Team. Open the Add team members dropdown and select Send invitations. You will see everyone who has not been invited, plus anyone who has not accepted yet. Only people with an email address on file can be invited, so check that before you start.
Everyone with an email on file gets selected for you automatically. Clear the checkbox beside anyone you want to skip. If the list is long, use Deselect all and pick people individually. Then select the button that shows how many people you are inviting, and the invitations go out together.
That invitation screen doubles as a diagnostic. Anyone still listed there has not accepted, which tells you exactly where the process stalled.
The missing email problem
This is the quiet failure mode. A worker added without an email address cannot appear in the invitation flow at all. Nothing is sent, nothing arrives, and the roster still looks normal. Put an address on the record first, then return to the invitations screen.
Resend an invite to one person
For a single straggler, the path is short:
- Go to My Team and select the team member to open their details.
- Under General, select Send Invite or Resend Invite.
- Select Send.
If the original address was mistyped, correct it on the record before resending. The new invitation goes to the fixed address.
Add a person by hand
Manual entry still has a place, and the answer walks through it:
- Go to My Team.
- Open the Add team members dropdown and choose Add manually.
- Enter the person’s details and pick a role. Permissions and custom access can be sorted out afterwards.
- To invite at the same time, enter an email address and tick the Invite box.
- Confirm with the Add Team button.
Notice the shape of that screen. The invite is built into the add flow, which is the cleanest way to avoid the lockout entirely.
Add from the QuickBooks Online side
Teams that live in QuickBooks Online get their own route:
- Select All apps, then Time, then Time team.
- Choose Add employee.
- Fill in the required fields.
- Select Add employee to finish.
The help material also sketches a bulk upload path for teams moving across from other accounting or payroll software.
What happens after the person accepts?
The invitee either creates a new Intuit account or signs in with one they already hold. They land straight in their QuickBooks Time account, where a short video tutorial plays. A welcome email follows with training help and setup information. From that moment the account is live and usable.
Archive and reactivate
The same accepted answer covers the rest of the lifecycle. Team members can be archived when they leave. Archived members can be reactivated later if they come back. None of that changes the entry rule: access begins with an accepted invitation.
The short version
Adding without inviting is the sequence that breaks accounts. Get the invitation out, one at a time or in bulk, and make sure an email address sits on file for every person. When an invite goes missing, resend it from the member’s own profile under General. That is the whole fix as the accepted answer frames it, and it is the one we would try first.
