QuickBooks Time invite list skips team members without an email on file
QuickBooks Time only shows team members with an email address on file when you send invitations, and your subscription decides where you add people.
QuickBooks Time has a quiet gatekeeper between administrators and their new hires: the invitation screen. Open it, and only team members who already carry an email address in their profile appear. Anyone without one is invisible to the invite flow, which is why attempts to onboard a new worker can appear to do nothing at all. The accepted fix for this recurring problem is a short sequence, and it starts with one question: which subscription are you working from?
Only profiles with an email address make the invite list
The behaviour catches people out because no error is raised. The My Team screen in QuickBooks Time holds an Add team members dropdown, and Send invitations pulls up everyone who has not yet been invited, or who was invited but never accepted. Workers with no email on file are excluded from that list entirely, so the screen can look empty even when the roster is full.
Everyone who qualifies is ticked automatically. You can untick names you would rather leave out, clear the whole list and select people individually, then send the batch in one action. The button shows how many people are selected, which is a quick check before the batch goes out. If the person you need is missing, their profile is the first place to look: add the address, save, and they will appear on the next pass.
Does your plan open the QuickBooks Online route?
Subscriptions decide where this work happens. QuickBooks Online Essentials, Plus, Advanced and Accountant, along with Payroll Premium and Payroll Elite, can add and manage time team members from inside QuickBooks Online. The path runs through All apps, then Time, then the Time team screen.
From there, adding an employee means choosing Add employee, completing the required fields and saving. Contractors work slightly differently: pick the contractor option, choose the supplier from the supplier display name list, and fill in the required fields before saving. Both QuickBooks Online and QuickBooks Online Payroll customers can send invitations without leaving QuickBooks Online at all.
If your plan is not on that list, the Time team screen will not appear in QuickBooks Online, and QuickBooks Time itself becomes the only place to manage the roster.
Adding a worker by hand in QuickBooks Time
Manual entry uses the same dropdown. Choose Add manually, enter the person’s details and assign a role. Three roles exist at this stage: Administrator, Worker and Payroll Manager. Finer-grained access, or a custom user setup, is handled through permission settings after the fact rather than during creation.
The invitation checkbox deserves attention. Tick it, supply an email address, and QuickBooks Time sends the invite as part of adding the person. The constraint behind the whole workflow is worth stating plainly: nobody can set up or use a QuickBooks Time account until an invitation has been sent to them.
Moving a roster over from other software
Teams arriving from another platform do not need to rebuild their staff list by hand. QuickBooks Time offers bulk upload from ADP RUN, Gusto, QuickBooks Desktop, QuickBooks Online, Xero and Square. The option sits in the same Add team members dropdown on the My Team screen, alongside manual entry and batch invitations.
If an invitation goes unanswered
Invitations get lost in busy inboxes, and QuickBooks Time keeps a resend path for exactly that. Open the person’s record from My Team, find the General section, and choose Send Invite, or Resend Invite if one has already gone out, then confirm.
The recipient’s side is straightforward. They create a new Intuit account or sign in with one they already hold, land in their QuickBooks Time account, and meet a short video tutorial. A welcome email with extra training material follows.
The order of checks that settles most cases
Work the sequence in this order: confirm the plan covers QuickBooks Time team management, make sure the worker’s profile carries an email address, then send or resend from My Team. In the reports we handle, the empty invite list is almost always the missing address rather than a fault in the product.
