QuickBooks Time ships with its breaks feature enabled on all new accounts, but the feature still needs to be configured before it will actually insert or track breaks on employee timesheets. Only QuickBooks Time admins can set up, edit, or delete break rules — standard users and team members cannot.

How QuickBooks Time handles breaks

A few mechanics are worth understanding before configuring anything. When a team member takes a break, QuickBooks Time creates a separate timesheet entry for that break rather than simply splitting the existing shift. GPS tracking pauses for the duration of the break and resumes automatically once the break ends. When the break is over, the team member is clocked back in to the same job or customer they were working on before the break started — no manual re-entry is needed.

Automatic vs. manual breaks

QuickBooks Time offers two break types, and a single break rule can be set to one or both:

Automatic breaks are inserted into timesheets by QuickBooks Time itself. The admin defines the frequency, the days of the week the break applies to, and where in the shift the break should be placed. Once configured, the system handles the rest.

Manual breaks let team members start and stop their own breaks from the clock-in interface. An admin can optionally enable a setting called “Team member can’t end break early,” which allows the employee to begin the break but prevents them from ending it before the configured duration has elapsed.

Because break and meal-period regulations vary by jurisdiction, it is worth reviewing applicable labor laws before relying on automatic breaks. State labor departments and national labor authorities publish guidance on meal and rest break requirements that can inform how the rules are configured.

Setting up a break rule

The setup path differs depending on which version of the QuickBooks Time settings layout an account is using.

In the current layout, admins go to Settings (gear icon) > Account and settings > Time, then select Edit next to Break. From there, the admin enters a break name, sets a duration, and uses Edit Access to assign specific team members. The break can be marked as paid or unpaid, and set to automatic, manual, or both. For automatic breaks, the admin configures the frequency, applicable days, and placement within the shift. Saving the rule activates it immediately.

In accounts using the older layout, breaks are managed under Feature Add-ons > Breaks. The system includes a default lunch break and a rest break, both turned off by default. Admins can toggle those on or create a new rule with Add Break Rule, entering a name, short code, and duration, then choosing the break type and saving.

One detail to note: when a new break rule is saved, it is turned on by default. Admins who are not ready to roll out a break should turn it off immediately after saving to prevent it from applying to timesheets prematurely.

Assigning and editing break access

Each break rule has its own assignment list. From the break rules list, selecting Edit Access under the Assigned To column opens the team member picker, where admins can check or uncheck individuals — or assign the rule to all team members at once. Changes are saved on the assignment screen.

Editing an existing rule follows the same path used to create it: open the rule, adjust the name, duration, paid/unpaid status, or automatic/manual settings, and save.

What to expect on timesheets

When a manual timesheet entry is created in the Timesheet Editor, the person entering it can check a box labeled Apply break rule on save to have the automatic break applied to that entry.

One behavior that frequently raises questions: when QuickBooks Time inserts an automatic break, the Timesheet Log attributes the edit to “Customer Support.” This is the system’s own automated process — not a human support agent — and the label is expected behavior. The timesheet was modified by QuickBooks Time’s rule engine, not by an Intuit employee.

Turning breaks off or deleting them

Admins who want to temporarily disable a break without losing its configuration can turn it off from the break rules list. Deleting a break rule entirely removes it from the system. Both actions are available from the same breaks management screen used for setup.
