QuickBooks Time and Xero: Australian users hit avoidable setup traps
Australian users linking QuickBooks Time to Xero report vanishing records and missing overtime items; the accepted answer sets out the fix.
In Australia, teams connecting QuickBooks Time to Xero keep running into the same avoidable walls. Records vanish after a first import. Overtime pay items never appear for mapping. The payroll link refuses to behave unless it is configured in a specific order. The accepted guidance on this integration, maintained by Intuit and recently updated, documents both the traps and the sequence that avoids them. We have gone through it below.
The ground rules
The connection is strictly one to one. A single QuickBooks Time account links to a single Xero organisation, and there is no way around that limit. In Australia the integration also reaches further than in most regions: payroll comes along in addition to invoicing. That wider scope is where most of the setup trouble begins, because payroll adds prerequisites that invoicing alone does not have.
Does payroll in Xero need to come first?
It does, whenever hours will be exported to Xero for payroll. Payroll has to be live in Xero before the integration is installed, not after. Pay items for time and a half and for double time should be created in Xero first, then attached to each employee’s pay template. Only then should overtime tracking be switched on in QuickBooks Time. The setting lives under Company Settings, then Payroll & Overtime, then Overtime.
Teams using the Pay Rate Engine for more advanced overtime rules face an extra step. Overtime payroll items must be mapped inside the Pay Rate Engine settings. For those items to appear there at all, they have to sit under an Overtime Earnings category in Xero. Skip that categorisation and the mapping screen stays short of exactly the entries you need.
Exact name matches decide the first import
Much of the friction sits in naming. Customers added by hand in QuickBooks Time before the integration must match their Xero names exactly, character for character, before the first import runs. The same rule covers employees added by hand: first name, last name, and email all need to line up. A stray middle initial or an old email address is enough for the systems to treat one person as two.
The archive option that removes records
The sharpest edge sits in the Import Options window during setup. Archive selections remove employees, customers, and inventory items that do not match anything on the Xero side. One tick in the wrong box, and records people expected to keep are gone from QuickBooks Time. There is no in-product undo. The accepted answer is clear that recovery runs through the vendor’s own support desk. The safe move is to leave archive options alone unless removal is the goal.
Items land in unexpected places
The two systems do not mirror each other, and that surprises people. Xero employees become team members in QuickBooks Time. Contacts and customers become jobs. Inventory items and categories both land in custom fields. Anyone expecting a like-for-like copy of their Xero lists will not find one. Knowing the mapping in advance explains why an imported customer list looks different from the original. It is worth checking before the first import rather than after.
Invoicing without payroll is allowed
Not every team needs the payroll half of this integration. Payroll can stay switched off in Xero, and the connection still works for invoicing. Employees can be added directly in QuickBooks Time, their hours tracked, and those hours invoiced as usual. In the Xero Integration Preferences window during setup, the payroll question only needs a yes when payroll in Xero is genuinely enabled.
Before any of this, the Xero side should be populated. The guidance says to add customers, contacts, and inventory items in Xero first, since the invoicing flow depends on them being there.
The sequence that resolves it
The install path itself is short. In QuickBooks Time, open Feature Add-ons, then Manage Add-ons, find Xero, and select Install. In the preferences window, choose the country, and tick the payroll option only if payroll is live in Xero. Select Connect to Xero. Xero then shows an authorisation window: pick the organisation and allow access. Step through the connection window, and the Import Options screen appears last.
That final screen deserves the most care. Importing the customer list gives staff something to track time against. Every archive tick, as covered above, is a destructive action. Work through the name matches before reaching this point, and the first import tends to pass without casualties.
The short version
Set up payroll and pay items in Xero first. Match names exactly. Categorise overtime items as Overtime Earnings in Xero so they appear where the Pay Rate Engine can see them. Treat archive options as deletions. Connect one account to one organisation. Read end to end, the accepted answer works as a warning about order: do the Xero side first, then connect, then import.
