QuickBooks South Carolina WH-1601 Withholding Form: What Gets Prefilled and What to Fix

QuickBooks prefills most of South Carolina's WH-1601 withholding tax payment form, but filing frequency, withholding numbers, and due dates need review before mailing.

QuickBooks Desktop users responsible for South Carolina withholding tax payments have access to a built-in WH-1601 form that auto-populates most fields from existing payroll data — but the form still requires a careful review of filing frequency, withholding numbers, and deposit schedules before it goes out.

Where to Find the Form

To access the WH-1601 inside QuickBooks Desktop, navigate through the Employees menu, select Payroll Forms and W-2s, then choose Process Payroll Forms. From the list of available forms, locate and select South Carolina WH-1601. If the form does not appear in the list, confirm that your QuickBooks version is current and that South Carolina is set as a state with active withholding in your payroll setup.

You can also reach payroll forms by going through the Employees menu, clicking Payroll Center, and then selecting the File Forms tab. The WH-1601 should appear among your state forms if South Carolina withholding is properly configured.

What QuickBooks Fills In Automatically

For most companies, QuickBooks populates the form using data already stored in the company file — employer identification details, employee wage totals, and withholding amounts drawn from payroll runs throughout the reporting period. When all company, payroll, and employee information is current and accurate in QuickBooks, there is typically little additional data entry required on the form itself.

QuickBooks 2013 and later versions go a step further by prefilling the filing frequency based on the deposit schedule configured in payroll setup. This means the form should reflect whether your business files quarterly, monthly, semi-weekly, or on another schedule — but only if that setting was configured correctly during initial payroll setup.

Fields That May Need Manual Attention

South Carolina Withholding Number

The form expects a nine-digit South Carolina withholding number. If the number is missing or incorrect on the prefilled form, it needs to be corrected in QuickBooks payroll setup. Navigate to Employees, choose Payroll Setup, and locate the state tax identification section — or access the Payroll Item List from the same menu and update the withholding number on the relevant state withholding item. Once corrected at the setup level, the number will flow through to future form filings.

Filing Frequency

Even though QuickBooks 2013 and later prefills this field, it is worth verifying that the frequency matches your actual deposit schedule. If payroll setup was configured with an incorrect deposit frequency, the form will carry that error forward. Correct the deposit frequency in payroll setup before generating the form.

Understanding the Due Date Schedule

The WH-1601 due date depends on whether the employer is a resident or nonresident withholding agent, and on the dollar amount of tax liability.

Resident withholding agents follow a tiered schedule tied to federal tax liability:

  • If federal tax liability for the quarter is under $2,500, the South Carolina payment is due within 30 days after the quarter ends.
  • If federal tax liability during the 12-month lookback period is under $50,000, the payment is due within 15 days after the close of the month.
  • If federal tax liability during the lookback period exceeds $50,000, the payment follows a semi-weekly schedule: paydays ending Wednesday through Friday are due the following Wednesday, and paydays ending Saturday through Tuesday are due the following Friday.
  • If accumulated federal tax liability reaches $100,000 at any point, the South Carolina payment is due within one banking day.

Nonresident withholding agents follow a simpler schedule based solely on South Carolina withholding amounts:

  • Withholding under $500 for the quarter follows a quarterly schedule, due 30 days after the quarter ends.
  • Withholding of $500 or more for the quarter follows a monthly schedule, due on the 15th of the following month.

Where the Form Gets Mailed

The completed WH-1601 should be sent to the South Carolina Department of Revenue at their withholding address in Columbia, SC 29214-0004.

If numbers on the form do not match expectations, QuickBooks provides a built-in help system accessible directly from the form window. Clicking the Help button while the form is open brings up explanations for individual fields and troubleshooting guidance for tracing amounts back to their source transactions in the company file.
