QuickBooks Shipping Manager Return Services: How They Work
A look at Call Tag, Email Label, and Print Return Label options in QuickBooks Shipping Manager, and what to expect when processing returns.
The Shipping Manager inside QuickBooks Desktop includes return services that turn a carrier into a courier for bringing shipments back to you. For U.S.-based shipments, these tools are aimed at product returns, swapping parts, reclaiming mistakenly shipped items, and retrieving equipment from locations that do not have their own shipping accounts. They also help when home-office workers need to send something back to a central office. The workflow is built into the shipping module, but some of the behavior surprises users at first, especially when no label prints in the office.
What Return Services Actually Do
Return services let you arrange a pickup without handing the recipient a pre-paid shipping label of your own. Instead, the carrier handles the return leg. There are two standard types, plus one print option.
The first is a Call Tag. A driver from the carrier goes to the pickup site with a return label in hand. The driver applies the label to the parcel and takes it away. You do not need the recipient to print anything or visit a drop-off location.
The second is an Email Label. In this case, the carrier emails a return label directly to the recipient. It becomes the recipient’s job to print that label, attach it to the parcel, and get the package to a drop box or into a courier’s hands. Because the label arrives as an email from the carrier, it can end up in the recipient’s spam folder, so it is worth mentioning that possibility when you give the recipient a heads-up.
There is also a Print Return Label option, which is different from both. This one causes Shipping Manager to print a return label you can include with an outbound shipment. A common use is a spare-parts shipment: the recipient gets the new part and uses the included label to send the old part back to you.
Flipping a Shipment Into a Return
Processing a return shipment follows the usual shipping routine. Open Shipping Manager, then use the flip button in the upper-left corner of the window. That flips the shipment into a return-service shipment. From there you select the type of return service, enter a reference, and press Ship.
For Call Tags and Email Labels, no label prints at your office. This is normal. The shipment information is uploaded to the carrier, and for Email Labels the label is sent to the recipient, but your own printer stays silent. Users who expect a paper label from their local printer sometimes assume something went wrong. It did not.
The Automatic Returns Feature
Shipping Manager also includes an Automatic Returns feature. When enabled, it triggers a return shipment for every outbound shipment you process. That is a broad behavior, so it makes sense to keep it in mind if you do not want a return on every single order. It is most useful in environments where every shipment is expected to generate a return, such as an equipment loan or a permanent parts-exchange arrangement.
Using Return Services for Third Parties
One hint worth noting: return services do not have to be limited to shipments coming back to you. You can adjust the Pickup From and Deliver To addresses in Shipping Manager to have the carrier handle a shipment from anywhere to anyone. That lets you use Call Tag or Email Label services to coordinate a return directly between two third parties, such as a customer sending a defective unit to a repair depot instead of through your office.
What to Watch For
The most common point of confusion is the absence of a printed label for Call Tags and Email Labels. It is expected behavior, so there is no need to re-run the shipment or contact support. For Email Labels, the other consideration is spam filtering; the label comes from the carrier’s email system, so recipients may need to check their junk folder.
For users who need a physical label to enclose with an outbound package, the Print Return Label option is the one that actually produces paperwork from your own printer. That option is the right fit for parts swaps and similar workflows where the return label travels with the original shipment.
Return services are a practical part of the Shipping Manager toolkit, especially for businesses that handle repairs, field equipment, or anything that regularly needs to come back. Because the feature works through the carrier rather than your own label stock, it simplifies the recipient’s end of the process and keeps returns moving without a separate mailing step.
