QuickBooks Shipping Manager Return Services Explained

QuickBooks Desktop users can process UPS return shipments through Shipping Manager using Call Tags, electronic labels, and printed return label options.

QuickBooks Desktop’s Shipping Manager includes a set of return shipment tools that, while not immediately visible on the main shipping screen, give users several ways to get packages back from customers, vendors, or other contacts. The feature centers on a toggle button — referred to in the interface as the “flip” button — that switches the active form between outbound shipping and return services. Pressing it a second time returns the form to its standard outbound configuration.

Activating Return Services

The return services module lives behind that flip button. When toggled, the Shipping Manager form repurposes itself for inbound logistics rather than outbound shipping. Users who have never noticed the button may assume QuickBooks lacks native return-shipping capability, but the functionality is built in — it simply requires that switch.

An optional Automatic Returns feature is also available. When enabled, QuickBooks generates a return shipment record for every outbound shipment processed, which can streamline operations for businesses that routinely need return labels paired with deliveries.

Available Return Service Types

Once return services are active, Shipping Manager supports four distinct UPS return methods. Each handles the logistics of getting a label to the sender and the package back to the recipient differently.

Call Tag (UPS Returns Plus)

This is the most hands-off option for the originating party. UPS dispatches a driver directly to the pickup address carrying a pre-printed return label. The driver collects the package, applies the label, and ships it to the destination listed on the Shipping Manager form — which defaults to the user’s own address but can be changed.

UPS offers two attempt levels. A single-attempt version sends the driver once; if the package is not ready, the driver leaves the label behind so the sender can use it later. A three-attempt version sends the driver back up to three times, label in hand each visit, until the package is collected.

Electronic Return Label

With this option, UPS sends the return label directly to the email address listed in the Pickup From section of the shipping form. The recipient prints the label, attaches it to the package, and hands the parcel off to the carrier. This method works well when the sender has reliable email access and a printer.

This method puts label production entirely on the QuickBooks user. The return label prints on the user’s own printer and can be included inside an outbound shipment — useful when a customer needs to return a defective part or exchange an item. The user can also mail the printed label separately.

For users with PDF creation tools, the printed label can be saved as a PDF file and emailed to the sending party. The sender then prints, attaches, and ships.

This option delegates the entire label-distribution process to UPS. The carrier prints the return label at one of its facilities and mails it to the pickup address through the U.S. Postal Service. The recipient applies the label and tenders the package to UPS for return transport. This is the slowest distribution method but requires no action from either the QuickBooks user or the sender beyond applying the label once it arrives.

Choosing the Right Method

Each return service type trades convenience against speed and control. Call Tags are the most convenient for senders but depend on carrier availability in the pickup area. Electronic labels are fast but assume the sender can print. Printed labels included in outbound shipments add cost to the initial package but guarantee the sender has what they need. Print and Mail is the most passive option but adds postal transit time before the return can begin.

Users should consult the carrier’s service guide for current pricing, coverage details, and any service-specific restrictions before selecting a return method for regular use.
