QuickBooks Desktop users attempting to electronically file payroll tax forms sometimes find that the e-file button is grayed out or otherwise unavailable. The issue is not a single malfunction but a checklist of prerequisites — any one of which, if unmet, will block electronic filing.
Prerequisites for Electronic Filing
Before a payroll tax form can be e-filed from within QuickBooks, three conditions must be satisfied. First, the form itself must be configured for electronic filing through the payroll setup interview. To diagnose the problem, users should close the Submit Form or Print/E-file Form window and return to the Payroll Tax Form window. At the bottom of that window, a “Check for Errors” button scans the form and surfaces any issues at the top of the screen. Double-clicking an error message jumps directly to the relevant part of the form so it can be corrected.
