A failed payroll debit — typically caused by non-sufficient funds (NSF) in the linked bank account — triggers an immediate hold on your QuickBooks Payroll service. The hold affects both employee direct deposits and electronic tax payments, and it remains active for five banking days unless you intervene. Here is what happens, what to watch for, and what resolves it.

How the NSF Hold Begins

When QuickBooks attempts to pull funds from your business bank account to cover a payroll run or a tax payment and the transaction fails, the account is placed on hold. The most common cause is simply not having enough money in the account at the time of the debit, but the result is the same regardless of the reason: no further direct deposits or tax payments will process until the funding issue is cleared.

The Notification Email

QuickBooks sends an automated email to the Payroll Admin, Principal Officer, or accountant on file the moment the transaction fails. That email is the starting point for resolving the hold — it contains a return code (such as R01 or R09), the amount of the failed debit, and instructions for your next step.

Subject lines for these notifications vary depending on whether the failure involved payroll, taxes, or a partial payment. Common examples reference an unsuccessful direct deposit, a failed payroll tax withdrawal, or partial payment received. If the Payroll Admin did not see the message, the first step is to check the spam or junk folder.

What Gets Affected

Employee and Contractor Pay

Direct deposits for employees and contractors are funded on a schedule — same-day, next-day, two-day, or five-day. For same-day, next-day, and two-day funding, direct deposits resume once the hold is cleared. For five-day funding, direct deposits are not processed at all during the hold; you will need to issue paper checks to affected employees in the interim.

Tax Payments

Tax payments are also placed on hold during an NSF event. QuickBooks cannot pay tax agencies in full on your behalf until the failed withdrawal is successfully completed. If some funds were already withdrawn for the current tax period before the NSF occurred, QuickBooks will attempt to make a partial payment toward what you owe. If a partial payment is not possible, you will be notified before the taxes are due, and any previously withdrawn funds will be refunded.

The tax-payment impact varies by product. With QuickBooks Desktop Payroll Assisted, federal and state taxes are handled on your behalf once funding is restored. With QuickBooks Desktop Payroll Enhanced e-pay, the Primary Principal receives an email confirming whether tax payments were made or providing instructions if manual action is needed.

How to Clear the Hold

There are three paths to resolving an NSF hold, and the notification email determines which one applies to your situation.

Wait for the Automatic Redebit

QuickBooks will attempt an automatic redebit on the day the NSF notice is received. If the bank account now has sufficient funds and the redebit succeeds, the hold is cleared automatically and no further action is needed. This is the simplest outcome — but only if the underlying funding shortfall has been addressed.

Send a Wire Transfer

If the automatic redebit does not succeed, or if the email instructs you to wire funds, you will need to complete a wire transfer using the instructions provided in the notification email. The Principal Officer or Primary Principal must be available to initiate the payment, and you will need access to your bank account — either online or in person — to complete the transfer.

Money transfer services such as Western Union are not accepted. The wire must come from your bank. Once the wire is received, the hold is typically removed within one banking day.

Pay via Versapay

In some cases, the notification email will direct you to contact QuickBooks to request a Versapay payment link. Once you receive the link, you complete the payment through the Versapay portal. This option is offered when wire transfer is not feasible or when the specific situation calls for an alternative payment method.

What You Need Before You Start

Regardless of which resolution path applies, resolving an NSF hold efficiently requires a few things in place beforehand:

  • Access to the Payroll Admin email account — the notification and all instructions are sent here
  • The return code from the email — this identifies the type of failure
  • The Principal Officer or Primary Principal available — this person must authorize or initiate payment
  • Access to your bank account — online or in person, for completing a wire transfer
  • Knowledge of your payroll funding time — same-day, next-day, two-day, or five-day — so you know whether direct deposits will resume or whether paper checks are needed

The Five-Day Window

The hold lasts up to five banking days. If you take no action and the automatic redebit fails, the hold will eventually expire — but the underlying payroll and tax obligations remain unpaid. Acting quickly within that window, using the instructions in the notification email, is what gets your account back to normal with the least disruption to employees and tax agencies.
