QuickBooks Payroll: Filing and Reviewing Form NC-5Q in QuickBooks Desktop

QuickBooks Desktop prefills most of North Carolina's quarterly withholding return automatically — here is how to navigate, review, and file Form NC-5Q correctly.

QuickBooks Payroll: Filing and Reviewing Form NC-5Q in QuickBooks Desktop

QuickBooks Desktop users responsible for North Carolina semiweekly payroll tax deposits periodically raise questions about where Form NC-5Q — the Quarterly Income Tax Withholding Return — lives inside the software, how its numbers are calculated, and what steps are needed to finalize and file it. The form serves as a quarterly reconciliation, matching the total tax actually withheld from employee paychecks against the total tax already paid to the state during the quarter. QuickBooks handles most of the arithmetic automatically, but users still need to know how to open the form, verify its prefilled fields, and understand what each line means before submitting.

Opening Form NC-5Q in QuickBooks Desktop

To access the form, navigate to the Employees menu at the top of the QuickBooks Desktop window and select Payroll Center (or Payroll Setup, depending on your version). From the Payroll Center, click the File Forms tab. Under the Forms list, locate North Carolina Form NC-5Q — Quarterly Income Tax Withholding Return. Select it, then click View to open a preview or Create Form to begin the filing process.

If the form does not appear in the list, users may need to check that their payroll service is active and that North Carolina state withholding is properly set up for at least one employee. QuickBooks pulls the list of available state forms based on the state tax IDs entered in company setup and the state assignments on each employee’s payroll profile.

What QuickBooks Prefills Automatically

In most cases, when all company, payroll, and employee data has been entered correctly throughout the quarter, QuickBooks populates the majority of fields on Form NC-5Q without any manual input. The software draws withholding figures from paycheck data and payment records already recorded in the company file. Users should still review every field the software did not fill in and enter any missing information before filing.

For users who want to verify or audit the numbers behind the form, QuickBooks provides hyperlink-style drill-downs within the form view. Clicking these links reveals where each figure originated in the company file — a useful step for confirming accuracy before submitting the return to the state.

Understanding the Key Lines

The form contains several lines that QuickBooks users should understand before filing:

  • Line 1 — Total Tax Required to Be Withheld: This figure is pulled from page 2 of Form NC-5Q, specifically Part IV, which represents the total withholding for the entire quarter.
  • Line 2 — Total Payments to North Carolina for the Quarter: QuickBooks derives this amount from payment records already logged in the software — the semiweekly deposits made during the quarter.
  • Line 3 — Underpayment: If the amount on Line 1 exceeds Line 2, the difference represents an underpayment. In this situation, filers must use Form NC-5PX to submit the additional tax owed, along with any penalty and interest.
  • Line 4 — Overpayment: If Line 1 is less than Line 2, the difference is an overpayment. The state will refund this amount.

Filing Deadlines and Grace Period

The return is due on the last day of the month following the close of the quarter. QuickBooks users who have made all required payments during the quarter — and who owe no additional tax — receive an automatic 10-day extension to file Form NC-5Q. This grace period applies only when no additional tax is due, so verifying that Lines 1 and 2 match before relying on the extension is important.

The completed return can be mailed to:

North Carolina Department of Revenue P.O. Box 25000 Raleigh, NC 27640-0605

Saving and Exporting the Form

QuickBooks allows users to save a copy of the completed form as a PDF for their records. From the form window, look for the save or export option to generate a PDF copy. This is recommended before closing the form or filing it, as it creates a snapshot of exactly what was submitted.

For users who want to perform a deeper review of their payroll data outside of QuickBooks, the software also offers an option to summarize payroll information in Microsoft Excel. This export can be useful for cross-referencing withholding totals against the figures QuickBooks has placed on Form NC-5Q. When Numbers Do Not Reconcile

If Line 1 and Line 2 do not match and the discrepancy is unexpected, the most common cause is a missing or misclassified payroll tax payment in the company file. Users should verify that every semiweekly deposit made during the quarter was recorded as a state withholding payment — not a federal payment or a generic check. Reclassifying or re-entering the payment with the correct tax tracking type typically resolves the mismatch on the next form generation.
