QuickBooks Online: turning tips on or off for invoices and receipts
QuickBooks Online users lose the tip option or cannot find the switch; the accepted fix sits in Sales form content, with plan limits on Free and Lite.
A quiet but persistent question is circulating among QuickBooks Online users: how do you add, or remove, a tip line on invoices and sales receipts? The answer exists, but it is split across three places. One switch lives in account settings, another hides inside each invoice, and a plan restriction can make both invisible. We traced the accepted solution end to end, and this report lays out the full picture.
The symptom, in both directions
Questions arrive from two camps. Service businesses want a tip prompt on the invoices they email, and they cannot find where to enable it. Others switched tips on, decided the prompt felt pushy, and now want it gone everywhere or only on selected forms. A third group enables the feature and then cannot work out why the money lands where it does in the books. All three camps end up on the same settings screen.
Turning tips on for all sales forms
Open Settings, select Account and settings, then Sales. In the Sales form content area, select the edit icon and switch Accept tips on. Finish with Update, then Save, then Done, and the tip field appears on your sales forms.
Before you save, the software asks who receives the tips, and the answer carries accounting weight. Choose My Team if the money goes to employees or other workers. QuickBooks creates a liability account, because the tip is held for someone else. Choose Just me, and the software books tips as income instead.
Turning tips off later follows the same path in reverse. Edit Sales form content again and flip the switch to off. The field then disappears from your forms.
Can you change tips on a single invoice?
Yes, and this is the control most people miss. Start a new invoice from the Create menu. Inside the invoice, select the gear icon beside Manage, then Payment methods. An Accept tips switch there applies to that invoice only. A second option, Manage settings, governs every future invoice. Decide who gets tipped, turn tips on or off, then save.
Tips on sales receipts
Receipts handle tips in their own way. Once the feature is on, an extra field on the receipt records the tip value directly. The amount sits with the totals and subtotals, and tax and discounts leave it untouched, so the figure you enter is the figure that posts. Customers paying an invoice online through QuickBooks Payments see choices of 5, 10, or 15 percent, or a custom dollar amount. The presets are fixed; your control is limited to on or off.
The plan restriction that looks like a bug
Some of the strangest reports have a mundane cause. Intuit restricts the tips feature on QuickBooks Online Free and QuickBooks Online Lite. On those plans the toggle simply is not there. The vendor’s stated remedy is an upgrade, handled under Settings and Subscriptions and billing. That gating explains why identical steps work for one user and dead-end for another. If the edit icon leads nowhere, check the plan before assuming the file is broken.
The account your tips post to
Your recipient choice decides the bookkeeping. Tips routed to staff sit in a liability account until they are paid out. Tips kept by the owner land in income. If neither default fits, the Tips account is reassignable. Return to Settings and Account and settings, open the Advanced tab, and select Edit beside Chart of accounts. There you pick the account QuickBooks uses for tips.
The short version
- Global switch: Settings, then Account and settings, then Sales, then Sales form content, then Accept tips.
- Recipient choice: My Team creates a liability account; Just me creates an income account.
- Per-invoice override: inside the invoice, select Manage, then Payment methods; Manage settings covers future invoices.
- Receipts: a dedicated tip field, unaffected by tax or discounts.
- Plan gating: the feature is absent on the Free and Lite plans.
Our advice is to settle the recipient question deliberately the first time. The account created for you shapes how tips read in your reports, and a change of mind later means reassigning it. The switches themselves take minutes once you know which of the three doors to open.
