QuickBooks Online SMS signup forms unlock only after program approval

QuickBooks Online users waiting on an SMS marketing signup form must clear plan, role, and approval hurdles before the page goes live.

COMMUNITY ISSUESQUICKBOOKY

Users of QuickBooks Online who want to reach customers by text keep running into the same wall. The question, raised in the vendor’s French-language help threads, asks how to create and promote an SMS signup form. The accepted answer explains why the form is not sitting in a menu. It only exists once a separate SMS marketing program has cleared review.

Why is the signup form missing at first?

The SMS feature does not let you build a form from scratch. Instead, you submit a signup request for SMS marketing and wait. After the program is approved, the software generates a landing page for you. That page carries a ready-made signup form with one mandatory field, the contact’s phone number. Your job is to customize the page and share it, not to assemble it.

The approval step no one can skip

Approval is the hinge of the whole process. The landing page, the form, and the ability to collect SMS subscribers all arrive together, and only after the request is approved. Users who look for form-building tools before that point find nothing. The software offers no workaround, and that is deliberate. Text marketing carries legal obligations, and Intuit gates the feature accordingly.

Plan and role checks block some users

Two checks decide who sees any of this. SMS marketing is an add-on for customers on the Essentials plan or higher. It also demands a senior role: the account owner, an administrator, or a manager. A standard user on a qualifying subscription is still locked out. The feature runs through the Mailchimp side of the product, so the audience tools involved live there.

How does the generated signup page work?

The landing page exists to collect consent. You personalize it, then send its link to your contacts by email. Anyone who completes the form is added to your Mailchimp audience as an SMS subscriber. You can check their status in the SMS marketing column of the contacts table. The same status is recorded on the individual contact profile. The program is tied to a single Mailchimp identity, which keeps setup in one place.

Which contacts can actually opt in?

A country restriction catches many users off guard. Signups work only for contacts whose phone numbers match the country tied to the program. A program set to send from the United Kingdom, for instance, accepts opt-ins from UK numbers only. A contact elsewhere can load the page, but the form will not add them to the SMS list. If your audience spans several countries, plan around that boundary before you promote the link.

Permission is where most users get tripped up. An email subscriber is not, by default, an SMS subscriber. The software treats the two consents as separate, and it will not let you text people who only agreed to email. That separation is the reason the landing page exists at all. It captures a distinct, explicit yes for text messages. Without it, marketing SMS cannot be sent.

Replies work on two-way numbers

Your sending number shapes what happens after opt-in. Where the number supports two-way messaging, such as a 10DLC number, subscribers can answer your texts. A reply containing the word help returns more information. Subscribers can also use replies to leave the list. On one-way numbers, that channel is not available.

The accepted resolution, in order

The answer the community accepted amounts to a sequence, and we read it as six steps. Confirm your plan is Essentials or above, and that your role is owner, administrator, or manager. Submit the SMS marketing signup request and wait for approval. Take the generated landing page, customize it, and email its link to your subscribers. Watch the SMS marketing column to see who has opted in. Follow the order and the form goes live. Skip the approval step and there is nothing to promote.

The pattern will feel familiar to anyone who has worked with regulated features in this product. Consent rules and country limits are conditions, not bugs. The software enforces them at every step, and the signup form is the instrument it uses to collect the permission it requires.
