QuickBooks Online includes a shipping label tool, but community threads show that finding it and using it are two different exercises. The reports follow a familiar arc: the label option is absent, or a first purchase stalls partway through, and the resolution turns out to rest on three things at once, namely the subscription tier, a connection to a third-party shipping partner, and a prepaid balance that has to be funded before anything prints.

The plan gate comes first

The accepted answer starts where most users do not expect it to: the subscription. Label purchasing is not included on Simple Start, Essentials, or Solopreneur as sold. Those plans can add it one of two ways, either by buying the inventory add-on or by upgrading to Plus or Advanced. Until one of those happens, labels bought in the past remain viewable and printable, but new ones cannot be purchased, and any funds already deposited into the shipping wallet are refunded back to your account.

The detail worth noticing is that shipping and inventory travel together. The add-on that unlocks labels is the inventory add-on, so the decision is rarely just about postage. Businesses already eyeing inventory tracking get both in one move; businesses that only wanted the occasional label are effectively asked to buy a broader feature set or move up a tier.

A wallet, not a card

The payment model is the second surprise. Connecting the shipping feature for the first time hands you off to the partner behind it, ShipEngine, where you agree to terms, register a payment method, and deposit an amount into a balance. Label purchases draw from that balance, and you can top it up later. A card on file alone does nothing; the wallet has to be funded before the first label will print.

Money flows back out the same way it went in. When a voided label is refunded, the money returns to the original payment method, and the confirmation arrives by email from ShipEngine rather than from QuickBooks. Billing questions route through the shipping partner as well: the payment management link inside the label workflow opens the ShipEngine dashboard, which offers a chat option for support.

Buying a label against an invoice

Day to day, the workflow is invoice-driven. From the New menu you choose Shipping label and link it to an invoice through the Linked transaction dropdown, which pulls sender and recipient details from your company record and the customer record. Both sides are editable before you buy. You then enter package dimensions in inches and weight in pounds and ounces, request rates, pick a carrier and service, and complete the purchase.

The label opens as a PDF in a new browser tab. Thermal printers generally expect a 4 x 6 inch label while standard desktop printers print on letter paper, and the PDF can be scaled from the browser’s print settings to match. Once the label exists, the invoice gains a Track shipment link that shows delivery status and lets you reprint the label.

One unit-system note: dimensions and weight are entered in imperial units regardless of your other settings, so anyone working in metric needs to convert before requesting rates, or the quotes that come back will be meaningless.

Voids and refunds

Unused labels can be voided, and this is where the accepted answer is most cautionary. Void windows differ by carrier and are not generous across the board: one express carrier’s cutoff lands only hours before the ship-by date, while postal and parcel carriers allow longer. Because these windows are set by the carriers and shift over time, the practical rule from the threads is to void an unused label promptly rather than assume weeks of leeway. Two further warnings accompany it: if a label gets used after you void it, the refund can be forfeited, and refunds are not instant, so expect a gap between voiding a label and seeing the money reappear.

What actually resolves it

Nothing here is broken in the file-and-data sense, which is why the accepted solution reads as a checklist rather than a repair. Users who could not get shipping working were, in order: on a plan that does not include the feature, or without the add-on; connected to the shipping partner but with an unfunded wallet; or funded but with no carrier account linked. The ShipEngine dashboard is where carriers get connected, and the label workflow inside QuickBooks is where the balance gets spent.
