QuickBooks Online's New Invoice and Estimate Layouts, Mapped

QuickBooks Online has redesigned its estimate and invoice forms; here is where the template tools moved and how to use the new right-hand panel.

QuickBooks Online has begun rolling out redesigned estimate and invoice forms, and the disruption for most users is a matter of moved controls rather than removed ones. The change covers Simple Start, Essentials, Plus, and Advanced subscriptions, together with QuickBooks Sole Trader accounts in the English (UK) edition. It arrives automatically, with nothing to install or switch on, and every estimate and invoice raised before the change remains reachable.

In practice the pain is navigational: long-practised routes to template settings no longer behave as expected. We have gone through the accepted guidance on the redesign and pulled out the exact paths.

What changed on the invoice and estimate forms?

Customisation now happens on the form you are about to send. Open an estimate or invoice and a panel appears on the right, where columns can be shown, hidden, or renamed in place. Colour and font controls sit on the invoice as well, so a layout can be restyled moments before it goes out. QuickBooks remembers the choices you make and applies them to the next estimate or invoice you raise.

Intuit says the redesign responds to user feedback and lists refreshed template options among the additions. The announcement also credits keyboard shortcuts with a faster invoicing experience, though it does not publish the key combinations. Treat that element as an unfolding rollout rather than a documented feature, and judge it on the forms as they reach your account.

Where did the existing templates go?

Nothing was deleted in the update. Your template library survives, and the route back to it runs through an open invoice. Select Manage, then Design, then Add/Edit, and the templates you already own appear for editing. If your house layouts seem to have vanished, this sequence is the first place to look, and no rebuild from scratch is needed.

Four ways to create an invoice

The redesign coincides with clearer entry points for getting an invoice into the books.

  • From scratch, one at a time or in a batch, when no record of the charges exists yet.
  • By import, for invoices already sitting in a spreadsheet.
  • By conversion, turning an estimate a customer has approved into an invoice.
  • By progress billing, raising one or more invoices against an existing estimate when payment arrives in stages.

Progress invoices leave the original estimate untouched, and several can draw on the same estimate as a project moves forward.

Where do you track invoices and their status?

To see everything in one place, go to All apps, select Sales & Get Paid, then select Invoices. From that list you can follow each form through the sales process, send reminders, and record payments. A Status column shows whether an invoice is overdue, paid, or voided. The same records are available customer by customer: open the customer’s record and review its Invoices tab.

On the accounting side, unpaid invoices feed the Debtors account, which appears on the Balance Sheet and other financial reports. One wrinkle deserves a flag. A statement created for a parent customer will include invoices from any sub-customer set to bill that parent. Firms structured around sub-customers should expect those lines whenever they run statements.

Payments taken outside QuickBooks

If you process payments on an external platform, the accepted guidance is to record those payments manually against the invoice in QuickBooks Online. Doing so keeps the Status column and the Debtors balance honest. Skip the step, and invoices you have already been paid for will sit on the books as open.

The rollout itself demands no action from you. Forms change on their own, earlier documents stay available, and choices made now carry into future forms. The real adjustment is muscle memory. The settings that once lived in a separate template area now sit on each form, in its right-hand panel, and behind the Manage menu.
