QuickBooks Online report customization moves to a modern view

QuickBooks Online users found moved customization controls and odd scrolling; Intuit guidance maps the modern view and the Advanced-only builder.

QuickBooks Online users are opening familiar reports and finding the customization tools relocated. The report screen now uses what Intuit calls the modern view, and the change has prompted questions. Intuit’s accepted guidance on the topic maps where the controls went, and it clears up one common misunderstanding along the way.

Do you need Advanced to customize a report?

No, and this is where much of the confusion sits. The modern view is the updated customization screen for reports in QuickBooks Online, and it is not tied to the top subscription tier. Filters, column order, number formats, and header options all live there for standard reports. The piece that does require QuickBooks Online Advanced is the Custom Report Builder. That tool lets you assemble a report from scratch instead of tailoring an existing one. Users on other plans can keep customizing the reports they already run; they cannot build new ones from a blank starting point.

The customization controls moved

In the older layout, report settings were scattered across the screen. Customization now sits in a dedicated section. Two controls that used to take some hunting, the one that sets which columns display and the one that sets the comparison period, now sit directly in the header. The switch between cash and accrual accounting sits up there too. Intuit also recommends a faster workflow: make all your changes in one pass, covering filters, columns, and groupings, then run the report once.

Scrolling now happens at page level

Some users first notice the redesign as a bug. The old design confined the report to a small scroll box, and reports can appear frozen now that the box is gone. The modern view scrolls the whole page instead. When a report seems stuck, hover the mouse in the white space to the left or right of the report and scroll. That small nudge is the fix most people miss.

Filters, groups, and pivots stay close at hand

Open a report and select Customize, then use the Filters dropdown. Pick a data type, choose an operation, and select from the values offered. You can stack additional filters and conditions as needed. The Groups dropdown handles grouping, and you can group by up to three columns. A calculations control inside the groups section works out totals, averages, or percentages for numeric groups. Pivoting takes one selection in the modern view: arrange fields across rows and columns, choose Values to summarize, and switch on Show totals for row and column totals.

Formatting lives in header dropdowns

Most formatting now hangs off dropdowns in the report header. The number format control displays figures in thousands or cents, shows or hides zero amounts and currency symbols, and offers up to three decimal places or whole-number rounding. A header and footer control adds or removes those elements. Column settings can switch on entity names, while row settings choose a banded row color or a highlight color for selected columns. Gridlines control the borders. Banded rows, which alternate row colors for readability, can also be switched on under General options.

Exports keep their formulas

One quieter change resolves a long-standing annoyance. When you export a customized report to Excel, calculated rows and columns now retain their formulas rather than arriving as flat values. Anyone who rebuilds spreadsheet math after every export gets that time back.

Refresh and drilldown behavior changed too

Reports now refresh on their own so the data stays current, and a refresh icon is there for manual updates. When you drill down into a transaction report and go back, your customizations stay in place. From the Balance Sheet, you can drill into accounts with zero balances and see the underlying detail.

Building a report from scratch on Advanced

For those on the Advanced plan, the Custom Report Builder starts under Reports, in the Custom reports area. Select Create new report, choose a report type, and create it. A wizard helps you search for the report type you want. Add, remove, or drag columns to reorder them, and select the report name twice to rename it. The Columns control holds a Reorder tab for dragging and a More Columns tab for toggling data fields on or off. Save As finishes the job.
