QuickBooks Online Reconciliation Workflow and the Reconcile Assistant Explained

A walkthrough of the QuickBooks Online reconciliation workflow, from uploading a statement in the Reconcile assistant to fixing unmatched items.

Reconciliation questions keep arriving from QuickBooks Online users closing their books for the first time. The ask is a simple one: how does the workflow actually run, and what should you do with transactions the software cannot line up against the bank statement? The accepted guidance now covers the whole path, from the Reconcile assistant to the opening balance check, and we have condensed it into the sequence below.

The workflow, step by step

In plain terms, this is the monthly habit of proving that every amount in QuickBooks agrees with the real bank or card statement. It works like balancing a checkbook, only in software. Gather your monthly statements before you start, because the whole exercise compares your records against them. The assistant trims the first stretch of the job by reading an uploaded statement for you.

Start in the All apps area and select Accounting, then Reconcile. Pick the account from the Account dropdown. Enter the closing balance, meaning the ending balance printed on the statement, along with the statement’s end date. Choose the option to upload from your device, select the statement file, and give the assistant a moment to extract its details. Select Start reconciliation when it finishes, then open the Overview tab for the comparison.

What does the Overview tab show you?

The tab sorts the month into three groups. Matched transactions have already been paired between QuickBooks and the statement, and they need nothing from you. Bank feed transactions to review are statement-period items still waiting in the For review tab; categorize or match them so they enter the books. The last group holds extra transactions recorded in QuickBooks that never appear on the statement. The software lists the likely reasons for that gap beside them. Clear the review list before judging the extras, because items still waiting cannot match anything yet.

Why do extra transactions show up?

The guidance names four causes. Timing differences involve money that is real but has not cleared yet, like a check written on the final day of the month. A card charge still pending works the same way. Duplicate entries record the same amount twice, often a manual entry racing the bank feed. Manual entries sometimes duplicate what the feed later delivered on its own. Uncleared transfers and deposits appear on one side only until the receiving bank posts them.

Fixing each mismatch

Each cause has its own move. For a timing difference, leave the item unreconciled this cycle and let it land on the next statement. For a duplicate, find the twin record and delete or void the surplus one so the amount is not counted twice. For a manual entry that mirrors a fed-in transaction, remove the manual version and accept the feed item instead. For an uncleared transfer, confirm both legs cleared, then reconcile the pair in the period where the second bank posted it.

How do you correct an opening balance?

Before the first reconciliation of any new account, recheck the opening balance. A wrong opening balance makes every later total look off by the same fixed amount, which is why it comes first. In QuickBooks Online, open the Chart of Accounts from Settings, then open the account’s register. Edit the dated opening balance entry so it matches the statement balance on the day the account began. In QuickBooks Desktop, open the Chart of Accounts, edit the account itself, and adjust the opening balance there, or fix the entry straight in the register. The software books this figure to an opening balance equity account, so any change ripples into that equity line.

Does Desktop follow the same workflow?

No. Desktop keeps the classic manual module: you enter the statement date and the ending balance, then check each item off against the paper statement yourself. There is no uploaded-statement assistant in that module. You can print the usual reconciliation report at the end as proof the account balanced. The opening balance caution and the four mismatch causes carry over unchanged.

The guidance also suggests bringing in an accountant for a first reconciliation or a tangled one, because early mistakes compound in later months. Finish only when the difference between the books and the statement reaches zero, then repeat the routine for every bank and card account each month.
