QuickBooks Online Projects Missing Comes Down to Plan and One Switch
QuickBooks Online users who cannot find Projects are usually on the wrong plan, or in Accountant where the tracking switch must be turned on by hand.
Community threads about QuickBooks Online project tracking follow a familiar pattern. A user goes looking for the Projects feature, finds nothing, and assumes the account is broken. In most reported cases the account is fine. The feature simply is not available everywhere, and in one edition it ships switched off.
Why is the Projects option missing?
Intuit limits Projects to its higher QuickBooks Online plans. The feature exists in QuickBooks Online Plus, QuickBooks Online Advanced, and Intuit Enterprise Suite. Practitioners on QuickBooks Online Accountant also get it. Anyone on another plan will not see Projects anywhere in the menus, and no setting will summon it. The only remedy is a move to a plan that carries the feature.
Where the feature exists, it usually arrives already switched on. Plus and Advanced accounts get Projects active by default. Accountant is the exception. There, financial tracking for projects must be enabled by hand before anything appears.
That manual step explains many of the missing-feature reports we see. An accounting firm opens a client file, expects the same defaults as Plus, and finds an empty space instead. The fix is one settings screen away.
Turning Projects on in QuickBooks Online Accountant
Open the settings gear and choose company settings. Move to the advanced tab and locate the Projects section. Expand it, switch on project financial tracking, save, and confirm with done. The Projects area then appears under all apps.
One warning belongs here, because the vendor states it plainly. Once project tracking is switched on, it cannot be switched off again. The toggle is a one-way door, and no later setting reverses it. Firms that only think they might want job costing should decide before they flip it, not after.
Creating a project
From the all apps area, open Projects and choose to create a new one. First-time users see a start-a-project prompt instead of the usual button; both lead to the same form. Give the project a name and a customer, set start and end dates, and optionally record a status and notes. Saving it leaves the project ready to receive transactions.
Reassigning a customer has a lasting effect
Each project is tied to one customer, and that link can be changed later. Edit the project, pick a different customer from the dropdown, save, and confirm the change. The swap takes only a moment. The consequences reach further than the project itself.
Every past invoice and estimate attached to the project moves to the new customer. Anything still outstanding has to be sent again, this time to the newly assigned name. Users who reassign casually then find old paperwork pointing at a customer that no longer matches. Treat the reassignment as a bookkeeping event, not a quick edit.
Adding transactions, expenses, and time
New transactions can be raised inside the project itself. Open the project, use its add-to-project menu, choose a transaction type, fill in the details, and save. The entry lands in the project’s numbers from the start.
Existing expenses take a different route. Open the expense from the expenses and bills area, find the customer and project column, pick the project from the dropdown, and save. The cost then counts against the project.
Timesheets live in the time area. Where time entries are available, they can be assigned to the project directly; otherwise the weekly timesheet covers it. Either way, logged hours roll into the project’s totals.
The tagging is what makes the numbers add up. Once entries, costs, and hours point at a project, its overview tracks income against spending as the work moves forward. Nothing has to be calculated by hand.
The takeaway for users hunting for Projects
Most reports of a missing Projects feature resolve without any repair. Check the plan first: Plus, Advanced, Enterprise Suite, and Accountant are the only editions that carry the feature. On Accountant, go next to the advanced company settings and enable project financial tracking by hand. Remember the one-way toggle before committing, and treat customer reassignment with care. After that the routine is simple: create the project, point transactions, expenses, and time at it, and let the overview build the income and cost picture for you.
