QuickBooks Online Invitations That Never Arrive: Causes and Fixes
Invited users are not receiving QuickBooks Online invitation emails; junk filters, a mistyped company address, and expired links are the usual causes.
QuickBooks Online has a recurring invitation problem, and it tends to surface at the least convenient moment. An administrator adds a colleague or an outside accountant, the system records the invite as sent, and nothing ever arrives in the recipient’s inbox. Community threads keep returning the same accepted answer, which lists four causes and a three-part fix. We walked through it; here is what matters.
The symptoms, as users describe them
The pattern is consistent across reports. An admin sends an invitation, and the status sits at pending. The recipient checks their inbox and finds nothing. Resending from memory does not help, because the underlying cause has not been touched.
Sometimes the message is merely hiding. Junk folders swallow a share of these invitations, and few recipients think to look there first. Other times, nothing was delivered at all.
Why does an invitation email go missing?
The accepted answer, maintained on Intuit’s help pages, identifies four causes. The first is the simplest: the email sits in the recipient’s junk folder. The second sits on the sender’s side. The company email address on file is malformed, with a stray space or an extra character in or around it. The third is filtering at the recipient’s end, where mail servers quietly block the message before it reaches an inbox. Accounting firms, with aggressive inbound filtering, are a frequent example.
The fourth cause is time. Invitations expire 30 days after they are sent. Once that window closes, the link is dead no matter where the email ended up, and a fresh invitation is the only way forward.
Verify the company address first
Before resending anything, check the company’s own contact email. Open Settings, choose Account and settings, and select the Company tab. Under Contact information, edit the row for the client email. Re-enter the address cleanly: no spaces before, inside, or after it, and no stray characters. Save the change, then close out of the settings screen.
A malformed entry here is easy to miss. A trailing space does not show on screen, yet the invitation quietly fails. Typing the address again from scratch is the reliable move.
Does the recipient need an Intuit account?
Yes, and this step catches people off guard. If the invited person has never used an Intuit product, they have no account for the invitation to match against. The fix is for them to create one using the exact address that was invited.
The accepted answer notes a side benefit: an existing account reduces the odds that the invitation gets flagged as spam. The address must match character for character, or the match fails and the problem persists.
Resend from the user list
With the address verified and the account in place, resend. Go to Settings, choose Manage users, and find the person in the list. In the Action column, select the option to send a new invitation. A fresh email goes out, and the 30-day clock starts over.
One detail saves confusion. If the resend option is missing and the status reads Active, there is nothing to fix. That person already accepted the earlier invitation and set up a login. They can sign in to QuickBooks Online directly and begin working.
What does the invitation status tell you?
Each invitation carries a status that admins can read from the same user list. It shows whether an email is still in flight, already accepted, or past saving. That reading is the practical test between waiting another hour and resending on the spot.
Outside accountants deserve extra patience. Inbound mail rules at a firm can hold or discard a message with no bounce and no notice. When that happens, the accepted route is a resend after both checks above, and the firm’s own mail handling may need adjusting on their side.
The short version
Work the list in order. Have the recipient check the junk folder. Verify the company email under Account and settings. Confirm the invited person holds an Intuit account under the same address. Then resend from Manage users. Four causes, three steps, and a status column that tells you when the user has already accepted and simply needs to sign in.
