QuickBooks Payments processes customer credit card and bank transfer transactions, but standard funding times can leave businesses waiting a few days for the money to land in their bank account. For QuickBooks Online users who need faster access to those funds, the Instant Deposit feature offers a way to push eligible payments into a checking account in under thirty minutes.
How Instant Deposit Works
When a user processes customer payments through QuickBooks Payments in QuickBooks Online, the standard timeline for receiving funds typically spans a few business days. Instant Deposit compresses that window significantly. Once set up, a user can request a payout of available funds and have the money deposited into their linked bank account in less than thirty minutes.
The feature allows deposits as small as one dollar or up to a daily maximum of $125,000. Users can initiate an Instant Deposit up to five times per day, with the limit resetting on a rolling basis.
Eligibility and Card Requirements
Instant Deposit is an additional service offered under QuickBooks Payments and is subject to eligibility criteria. A user’s QuickBooks Payments account must be active and in good standing to qualify. The feature is tied to a single debit card or bank account on file; users cannot maintain multiple debit cards or bank accounts simultaneously for instant deposits.
For users who also hold a QuickBooks Checking account, the platform sets the associated debit card as the default. This configuration allows instant deposits to process with no additional processing fees. Users who want to link a different debit card must ensure it is a Visa or Mastercard connected to a standard checking account at a bank or credit union. Prepaid bank cards, ATM cards, credit cards, and cash cards such as PayPal are not supported.
Setting Up the Feature
Users can check their eligibility and complete the initial setup through the QuickBooks Online interface. The setup process involves navigating to the payouts section, selecting the option to get started, and following the on-screen prompts to enter debit card or bank information. The platform requires a confirmation code to verify the linked account before the feature becomes active.
Once enabled, users can initiate a manual payout by navigating to their payouts dashboard, selecting the option to get funds instantly, and reviewing the total amount alongside any associated fees before confirming the transaction.
Scheduling and Reviewing Deposits
In addition to manual requests, QuickBooks Online allows users to automate the process. Within the settings menu, under the Payments tab, users can access the Deposit Speed section and set a schedule for automatic instant deposits. Users can select specific days of the week for the system to process these transactions automatically. The schedule can be viewed or modified at any time within the same settings panel.
Users can also review their deposit history and monthly statements directly within the Payments tab of their account settings. This allows for straightforward reconciliation of instant deposits alongside standard payment processing records.
Changing the Linked Account
If a user needs to update where instant deposits are directed, the Deposit Accounts section provides an option to change the linked card or bank. When switching from a personal debit card or bank account to a QuickBooks Checking debit card, users should select the zero-percent fee option during the change process. This ensures that processing fees are waived for future instant deposit transactions. The platform prompts the user to review the new card or bank details before saving the changes.
Deposit times can occasionally vary due to third-party processing delays, even when the instant deposit feature is functioning normally. Users should keep this in mind when relying on the feature for time-sensitive cash flow needs.
