QuickBooks Online contact forms: building and sharing them from Opportunities
QuickBooks Online users building a contact form will find the tool under Customer Hub and Opportunities, with emailed replies and a link that stays fixed.
QuickBooks Online ships with a contact form tool, and the community questions about it follow a familiar arc. A small business owner wants to collect inquiries from a website. The menus show no obvious sign of a form feature, so the question lands in the forums. We traced the accepted guidance end to end. It points to a spot few would guess, and it comes with a handful of firm limits.
A form feature that is easy to miss
The purpose is lead capture. A published form can sit on your own site or on a hosted page, and every submission becomes a possible lead worth following. The catch is placement. Nothing in the main navigation advertises the tool, and users who comb through settings tend to come away empty-handed.
The question in the community reads less like a bug report and more like a request for directions. The accepted guidance also assumes some background knowledge of how these forms behave, which tells you the concept is newer than the rest of the interface.
The route through Customer Hub
You start from All apps, open Customer Hub, and go to the Opportunities page. The Sources panel there holds a Create button, and that button opens the form builder. The builder is a two-step wizard. Step 1 covers the form itself, split between a Design tab and an Outline tab. Step 2 covers the message a visitor sees after they submit.
Design choices come first
Before any fields are placed, the Design tab asks about identity. If you have a brand kit in QuickBooks, your colors and fonts are pulled in for you. If you do not, you set the look by hand, or you can build a brand kit from inside the same flow. Images are supported, with each file kept to 5 MB or smaller.
Settle branding early. The same tab returns at the end for fine tuning across brand, base styles, text, fields, and buttons.
Building the form in the Outline tab
The Outline tab is where the form takes shape. A contact form starts with three elements: a name field, an email field, and a submit button. Selecting any element opens it for editing, so you can add a short description, mark it required, or delete it. New elements arrive through an add option. Reordering works two ways. Arrow buttons nudge an item up or down, and drag and drop in the panel moves it anywhere in the list.
The confirmation screen matters
Step 2 is easy to skip and worth a pause. This is the note a visitor reads right after submitting. You edit the starter wording directly, and you can add an image or a button that points to any web address you choose. A clear note sets expectations. A button can route a fresh lead to a booking page or a special offer.
Publishing and the two ways to share
Publishing makes the form live. The Share tab then offers two distribution paths. Embed walks you through placing the form on an existing website. Share with link produces a hosted page and a link you can copy anywhere. Neither path requires code, which keeps the work inside the builder.
One constraint stands out in the answer: the link cannot be customized. A business that wants its own domain in that URL will not find it here.
Where do submissions land?
Every submission triggers an email to the address on the QuickBooks Online account. The message carries the details the contact entered, which gives you a direct line for follow-up. A running record also builds in the Sources panel on the Opportunities page, so you are not dependent on a single inbox to track leads.
Limits worth knowing
The edges are clear once you look for them. Images cap at 5 MB each. The share link stays fixed. Notifications go to one account email rather than a team list. Within those bounds, the builder covers the essentials: required fields, reordering, brand styling, embedding, and a confirmation screen under your control. For users hunting a missing form feature, the fix is not a repair. It is knowing the tool sits behind Customer Hub, inside the Opportunities page.
