QuickBooks Online Advanced Payroll: How to Run the Right Report

The payroll reports in QuickBooks Online Advanced Payroll live under the Payroll tab, and every one of them is anchored to pay dates rather than periods.

QuickBooks Online Advanced Payroll keeps its reporting in a place that catches new UK users out. The standard Reports menu, the one that holds the profit and loss statement and everything else in QuickBooks Online, carries no payroll set at all. Every payroll report sits behind the Payroll tab instead.

That placement question, plus a quirk in how the figures are dated, keeps resurfacing in user forums. Both answers are short once you know them, so we have pulled the working method together here.

Where the payroll reports actually sit

Open Payroll, then select the Reports tab. The reports are listed there under a Payroll heading. There is no second location to learn and no setup step to complete first. Users who hunt through the main Reports menu are looking in the wrong building entirely.

Each report follows the same pattern. Set your filters, select Run report, and the results appear on screen. A Download option sits alongside the Run button, which produces a copy you can keep or send to whoever else needs it.

Three reports carry the workload

The report list is deliberately small. Three of them handle most of the day-to-day payroll questions.

Deductions report

This one breaks down deductions for each employee across a chosen stretch of time. Filter by date range or by a specific pay run, narrow the list to particular employees, and cut the results by pay schedule, deduction category or location. The employee search accepts a name, an employee ID or a payroll ID, so finding one person among many is quick.

Detailed Activity report

Activity by location is the focus here. For each employee, the report sorts payroll activity according to where the work was done. A group-by control offers earnings locations, a roll-up reporting location, or each employee’s default location. Pay schedule filters cover weekly, fortnightly, monthly and custom arrangements. Two checkboxes refine the view further: one adds post-tax deductions where they apply, the other collapses everything down to location totals only.

Employee Payment History report

Money questions live here. The report reconciles payments against a bank account, gives you a copy for an employee who asks, and settles most queries about what someone was paid and when. The summary lists each employee’s name beside the total paid for the period you selected.

Why don’t the figures match your accounting periods?

Every one of these reports is built on pay dates rather than calendar periods. The figures follow the date you last paid your employees, which has a consequence that surprises people: a pay run only appears in these reports once it has actually been paid. A run still in progress, or one awaiting payment, stays invisible.

The mismatch cuts both ways. Set a date range for last month, and a pay run from that month will be missing if it was only paid this month. Run a report for the current period, and it can include pay runs belonging to an earlier month. Anyone comparing these figures against accrual-based accounting reports should expect gaps in both directions.

That is not a fault. The two report sets answer different questions. Advanced Payroll’s reports record what was paid and when; the accounting side measures what was earned within a period.

One filter toggle saves the most time

The date filter carries a small arrow icon beside it. Select that arrow and the filter switches from a date range to a specific pay run. When you are chasing a single pay cycle rather than a stretch of months, the switch is faster than narrowing a range by hand, and it removes all doubt about which runs the report will include.

The month-end takeaway

Nothing here is hidden, but nothing announces itself either. The reports wait under the Payroll tab, they speak in pay dates, and they download straight from the screen for sharing. Users who expect them in the main Reports menu, or who expect period-based totals, will keep thinking something is broken until those two facts click into place. Once they do, the reporting set is easy to live with.
