QuickBooks Online Adds Keyboard Shortcuts and Sales Form Upgrades
QuickBooks Online rolls out 50-plus keyboard shortcuts, smarter bank feeds, and streamlined purchase order creation from sales orders in its latest update.

QuickBooks Online’s latest feature drop touches nearly every part of the workflow — from navigation and data entry to vendor communications and bank reconciliation. The updates focus on reducing clicks, improving clarity on customer-facing documents, and giving users finer control over how financial information is presented.
Keyboard Shortcuts Arrive Across the Platform
The headline addition is a suite of more than 50 keyboard shortcuts that now work across QuickBooks Online. The shortcuts cover four core areas: Banking, Lists, Transaction Forms, and Reports. Intuit designed them to work consistently across pages, so once a user learns a shortcut in one area, the same pattern applies elsewhere without relearning.
To view the full shortcut reference at any time, users can press Ctrl + Alt + ? on Windows or Cmd + Option + ? on Mac. The shortcut guide is updated regularly as new combinations are added.
Customer Contact Details on Sales Forms
Users can now display a customer’s phone number and email address directly on invoices, estimates, and other sales forms. The customization options let businesses choose which contact details appear, consolidating the information a team needs onto the documents they already use. This is a relatively small change but a practical one for businesses that rely on printed or PDF sales documents for internal coordination.
Vendor Bill Payment Stubs Get Clearer
Bill payment stubs have been reworked to list every open bill covered by a given payment. Previously, vendors receiving a payment might not have had a clear breakdown of which invoices were being satisfied. The updated stubs give vendors the detail they need to apply payments accurately on their end, which should cut down on follow-up calls and reconciliation disputes between buyers and suppliers.
Pay Bills Page Filtering and Sorting
The Pay Bills page now supports advanced filtering and sorting. Users can search by invoice date, vendor name, and additional criteria. Notably, the filters persist through a page refresh, so users who step away or navigate briefly do not lose their view. This is especially useful for businesses managing a high volume of payables, where re-establishing context after every refresh was a recurring frustration.
One-Step Purchase Orders from Sales Orders
For users handling inventory and order fulfillment, QuickBooks Online now allows creating a Purchase Order directly from a Sales Order in a single step. A “Convert to purchase order” button appears at the bottom right of the Sales Order page. This connects the purchasing and sales workflows, making it easier to track inventory commitments and fulfill customer orders without manually re-entering details across separate forms.
Report Exporting With Expanded or Collapsed Detail
When exporting reports, the output now reflects what the user sees on screen. By clicking the caret icon next to any account or sub-account before exporting, users can control whether that level of detail is included in the exported file. This lets accountants and bookkeepers send stakeholders a polished, focused report showing only the detail intended — rather than a raw dump of every line.
Bank Feed Enhancements
The bank feed experience has received several upgrades. Intuit has added drag-and-drop attachment support directly within the feed, along with AI-driven data extraction from PDF bank statements. The goal is faster, more accurate transaction matching with fewer manual entries. These improvements build on existing QuickBooks Online troubleshooting resources that address common banking and feed issues.
Smoother Bank Connection Resolution
When a bank connection breaks — a perennial pain point — the new flow lets a bookkeeper send a direct email to the bank account owner so they can resolve the issue quickly. This removes the indirect chain of messages that typically slows down reconnection, saving time for both the client and their bookkeeper.
What This Means for Users
Taken together, these updates represent a broad pass over everyday workflows rather than a single marquee feature. The keyboard shortcuts alone could meaningfully change how power users navigate the platform, while the bank feed and Pay Bills improvements address specific bottlenecks that have long drawn community feedback. Users who want to explore the shortcut system should start with the in-app reference guide, since new combinations are being added on an ongoing basis.
