QuickBooks Online Accountant Adds Workpapers for Year-End Close
Workpapers in QuickBooks Online Accountant gathers trial balance adjustments, documents, and notes in one private year-end workspace for accounting teams.
QuickBooks Online Accountant now includes a year-end workspace called Workpapers. Intuit built the feature to pull trial balance adjustments, supporting documents, and team notes into one place, and to keep every entry out of the client’s view. It is aimed at accountants and bookkeepers who prepare formal reports and financial statements at each year-end.
Built for the year-end crunch
Year-end close usually means juggling a trial balance, adjustment entries, and the documents that back each number. Workpapers gathers that work inside the client file. Everything you enter saves automatically, so there is no separate save step and no lost note when a session ends.
Privacy runs in one direction. Your entries, notes, and attachments stay with the accounting team, and the client sees none of them. That lets you flag open questions or rough estimates in the file without exposing internal working papers.
A timeline sits beside the trial balance. You can filter it to see which actions, yours or the client’s, moved a balance, and when. From the trial balance itself, one click opens the transaction detail behind a line. A separate view lists non-adjusting journal entries and reclassified transactions, so entries outside your adjustments still get seen.
The point, as Intuit frames it, is to cut the time and effort that formal statements demand once the books close. With adjustments in place, the data maps to GIFI codes, the codes Canadian practitioners rely on when completing corporate tax returns.
Accessing Workpapers
Sign in to QuickBooks Online Accountant where you already hold client access. Either select the link in the Workpapers column, or open the client file, choose Accounting review in the left navigation, and select Workpapers. The Review & adjust sub-tab holds the document uploads and the notes you leave for your team.
The client file itself has not moved. Files open through the same client and Accounting review path as before, and the feature changes none of that interface. It adds a workspace beside the existing tools rather than replacing them.
Documents attach to account lines, not to a folder
There is no general document folder here. Files and links attach to individual account lines inside Review & adjust. You can browse for a file, drag and drop one, or paste a shared link, such as a Google Drive item. Pasting a link keeps the source file where it already lives, so nothing has to be copied in.
The design keeps each piece of evidence beside the balance it supports. If your method depends on a single catch-all folder, this tool will not provide one.
Printing your work
Two print points exist. Select the printer icon in the Tax mapping section for that view, or the printer icon in the Review & adjust section for the other. Each icon prints the view it sits in.
Who can see the entries you make?
Only the accounting side. The feature is open to accounting professionals using QuickBooks Online Accountant, and clients have no visibility into what the team enters. Notes follow the same rule, since they are team-only by design. This is not a tool inside the standard subscription a client logs into.
Can two accountants update the same client file at once?
No. One accountant can update a client’s file at a time, a limit that exists to prevent duplicate entries. Firms that split a year-end file across several staff need to sequence the work rather than run it in parallel. Plan handoffs around the single-editor rule before the busiest weeks arrive.
How do you review a colleague’s changes?
Two routes cover it. The Audit Log, found under the Gear icon, records the activity. Each tab also carries a View details option at the top, which surfaces the changes tied to that view. The filterable timeline in the trial balance adds a third angle on which actions moved balances and when.
The takeaway for firms
Workpapers adds a private year-end workspace to QuickBooks Online Accountant without disturbing the route to client files. It saves as you go, keeps clients out of the working papers, and enforces one editor per file. The document model works line by line, with no general folder. Those limits shape the workflow as much as the features do.
