QuickBooks Mobile App Not Auto-Tracking Mileage: How to Fix It
Automatic mileage tracking in the QuickBooks mobile app frequently fails due to device permission settings. Here is how to resolve inconsistent trip logging.
When automatic mileage tracking stops working in the QuickBooks mobile app, the root cause almost always traces back to device-level permissions and battery management settings. The app relies on continuous background location access to detect movement and log trips, but both iOS and Android operating systems tightly restrict background activity by default. If the app misses trips entirely or only logs partial distances, the fix involves adjusting how your phone interacts with the QuickBooks application.
Enabling Auto-Tracking and Location Permissions
To begin logging miles automatically, open the QuickBooks mobile app, access the main menu, and navigate to Settings, then select Mileage. From there, turn on the auto-tracking switch. You will then need to grant the application permission to track your location. The exact sequence depends heavily on your specific operating system and version.
For Android devices, the permission structure varies. On older versions, you should select “Allow” for location permissions, and if the system prompts you further, select “Allow all the time.” The app may also request access to physical activity data to help detect when you are driving, which you must also allow. On newer Android versions, you will first select “While using the app” and confirm the prompt, but you must subsequently go back and change this to “Allow all the time.”
For iPhones and iPads, you must leave the QuickBooks app and open your device’s main Settings. Scroll down until you find the QuickBooks application in the list, select it, and choose Location. Set the location permission to “Always.” You must also enable the toggles for Motion & Fitness, Background App Refresh, and Cellular Data. If your device displays a warning message about background location use, select “Always Allow.”
A critical mistake many users make is selecting “While Using the App” or similar restricted options. These settings prevent the application from monitoring your location when the screen is off or when you switch to another application, which effectively breaks the automatic tracking feature.
Adjusting Data and Battery Restrictions
Even with the correct location permissions enabled, your device’s battery and data optimization features can silently terminate the QuickBooks app in the middle of a drive. Android devices feature aggressive data-saving modes that halt background processes. To prevent this, go to your Android device’s settings, find the application manager, and locate the QuickBooks app. Under the mobile data settings, enable the options to allow unrestricted data usage, allow background data usage, and allow the app while data saver is active.
Apple users face a similar issue with Low Power Mode. When activated to preserve battery life, Low Power Mode suspends background applications, which stops mileage tracking. If you must use Low Power Mode, you should manually open the QuickBooks app and keep it visible on your screen for the duration of your trip. Additionally, the Do Not Disturb feature can interfere with background applications. You should ensure this feature is turned off or adjust its schedule so it does not activate during your normal driving hours.
iOS System Services and Screen Time
Apple devices include a deeper layer of location management that can interfere with the QuickBooks app. Go to your device’s Settings, select Privacy, then Location Services, and ensure the main toggle is on. Scroll to the very bottom of this menu to find System Services. Inside System Services, locate and turn on the Significant Locations feature, as the operating system uses this to manage background location routines.
Furthermore, Screen Time restrictions can inadvertently block the app from functioning properly. In your device settings, navigate to Screen Time, select Content & Privacy Restrictions, and turn the feature off entirely to ensure it does not block the QuickBooks application’s background processes.
Keeping the App Active
If your trips are still missing after a long day, consider how you use your phone during the drive. When you begin a trip, it helps to open the QuickBooks mobile app manually just to ensure it is running in the background. If your device restarts, updates, or runs out of battery, the app will close. After any such event, you must open and sign back into the QuickBooks mobile app to restart the tracking service.
Finally, keeping the application up to date is essential. Developers frequently release patches to address compatibility changes in mobile operating systems. Check the Apple App Store or the Google Play Store for available updates to the QuickBooks mobile app and install them. If the automatic tracking continues to fail despite checking all these settings, you may need to explore alternative QuickBooks troubleshooting steps or look into general QuickBooks support resources to determine if a deeper system conflict is at play.
