QuickBooks memorized reports open with wrong results or not at all

QuickBooks Desktop memorized reports can open with wrong data, unwanted columns, or not at all, and the fix runs from a re-sort to a full list refill.

COMMUNITY ISSUESQUICKBOOKY

Community threads on QuickBooks Desktop describe a familiar failure: a memorized report that opens with the wrong columns, opens a different report, or does nothing at all. The reports at issue are the saved ones: templates users memorized so the same layout and filters return on demand. The clearest cluster follows the R13 update for QuickBooks Desktop 2024 and QuickBooks Desktop Enterprise 24.0, where saved reports began picking up unwanted columns. Older files with list damage show the same symptoms, so the update is not the only trigger.

The symptoms users report

We see two distinct problems behind one complaint. The first is cosmetic: after the R13 update, a saved report opens with columns nobody asked for. The second is real damage inside the memorized report list, and it behaves in specific ways.

Click a report and nothing happens, because its stored instructions point to a location that no longer exists or is empty. Click a report and a different one opens, because the instructions point somewhere else entirely. Notably, the trouble usually sits in the saved settings, not in your underlying books.

Running Verify Data on those files backs it up. The scan reports a count mismatch in the memorized report list, an invalid display index, or corrupted formatting data on a specific report. The flagged report, the scan adds, must be deleted. That detail matters later.

Does a simple re-sort clear it?

Sometimes, and it costs nothing. Open the Reports menu, choose Memorized Reports, then Memorized Report List. In that window, open the Memorized Reports menu and choose Re-sort List. Confirm the prompt about returning the list to its original order.

Re-sorting fixes display-index problems, which are damage to the order of the list rather than to the reports themselves. If your trouble began with unwanted columns after the R13 update, the accepted answer says to skip ahead to the rebuild.

Rebuild and verify come next

The Rebuild Data utility repairs transaction and list damage, though only the damage it is programmed to fix. From the File menu, choose Utilities, then Rebuild Data. Approve the backup prompt before the run begins; the utility insists on a safety copy.

During the rebuild, your computer may claim QuickBooks is not responding. If you can still move the mouse pointer, let it run. When the completion message appears, run Verify Data again. A clean pass ends the job here.

The filler-group method for stubborn files

If verify still fails, the accepted solution turns counterintuitive. Back up the company file first. Then, from the Memorized Report List, create a new group with a name you will never mistake for real work, such as Z Do Not Use.

Move every broken report into that group. Right-click a report, choose Edit Memorized Report, tick the option to save it in a group, and pick the new one. Repeat this for each affected report.

Next comes the strange part. Create 15 to 20 fresh memorized reports and save them into the same group. The new entries are sacrificial: they occupy the damaged slots in the list, and the number needed varies by file. Afterward, re-sort the list, close QuickBooks, reopen it, and recreate the reports you actually use.

Between runs, the QBWin.log records what verify finds, including which reports were flagged. Reading it is optional; the method above works without it.

Before you begin

Confirm you are on the latest release of QuickBooks Desktop, since older builds carry their own report bugs. Take a manual backup as well, beyond any copy the rebuild prompts for. Neither step takes long, and both leave you a way back.

For most users, the story ends at a re-sort or a rebuild. For the rest, filling the damaged slots and starting fresh is what finally restores the list.
