QuickBooks Maine New Hire Report: Required Fields and Manual Entry Guide

How to complete Maine's New Hire Report in QuickBooks, including which fields auto-populate, which require manual entry, and common data gaps.

QuickBooks Desktop generates state New Hire Reports to help employers comply with state-mandated reporting requirements, but Maine employers running into confusion over which fields populate automatically — and which need manual attention — are not alone. The Maine New Hire Report, accessible through QuickBooks’ payroll forms workflow, carries specific data requirements that can trip up users who assume the software handles everything.

Maine’s Reporting Requirement

Maine law requires that all newly hired employees be reported to the Maine New Hire Reporting Center within seven days of the hire date. QuickBooks generates the report form, but the accuracy of that report depends heavily on how completely each employee was set up in the system beforehand.

What the Report Must Contain

The report requires two categories of information: employer details and employee details.

On the employer side, the report needs the company name, address, phone number, Maine Department of Labor Number, and Federal Employer Identification Number (FEIN). These typically flow from company-level setup and rarely need manual correction.

The employee side is where users most often encounter gaps. Required employee data includes the full name, address, Social Security Number, date of birth, an indication of whether the employee was rehired, recalled, or terminated, the date of hire or rehire, and the first day of work.

Fields That Auto-Populate — and When They Break

QuickBooks attempts to pull several fields directly from the employee record, but the import only works if the data was entered during employee setup. Two fields in particular cause recurring confusion:

Employee Date of Birth is a required field on the Maine report. QuickBooks imports it automatically — but only if it was entered in the employee setup screen. Users who skipped that field during onboarding will find it blank on the report and must enter it manually.

Date of Hire or Rehire also imports from the employee record. However, Maine defines the hire date as the first day the employee performs services for wages, which may differ from what was entered in QuickBooks. If the imported date does not match Maine’s definition, it can be corrected directly on the form.

The First Day of Work Field

This mandatory field is defined as the date an employee first performs paid work. Because most employers treat the hire date and the first day of work as the same date, QuickBooks automatically copies the value from the Date of Hire field into the First Day of Work field. If those two dates differ for a given employee, the user should verify the value and adjust it as needed.

Fields Requiring Manual Entry

Several fields on the Maine New Hire Report do not auto-populate and must be completed by the user:

Rehired or Recalled is a required field. Users must enter “N” if the employee was newly hired (not rehired), “R” if recalled, or “T” if terminated. QuickBooks does not determine this status automatically.

The following fields are optional but available for employers who wish to provide them:

  • Medical Benefits Availability — Enter “Y” if medical benefits are available to the employee or “N” if they are not.
  • Occupation — Enter the employee’s job title or occupation.
  • Pay Frequency — Enter “W” for weekly, “B” for biweekly, “T” for twice monthly, or “M” for monthly.
  • Wages — Enter the hourly wage for hourly employees or the gross wage per pay period for salaried employees, expressed in dollars and cents.

Where Users Get Stuck

The most common issue users encounter is missing data on the generated report — particularly the date of birth — because the corresponding fields were left blank during employee setup. The report form does not flag these omissions in advance; users discover them only when reviewing the completed form.

Another frequent point of confusion is the Rehired or Recalled field. Because QuickBooks does not auto-detect whether an employee is a new hire versus a rehire or recall, users must manually assign the correct single-letter code. Leaving this required field incomplete can result in a rejected or non-compliant filing.

For broader payroll reporting guidance, including troubleshooting form-generation issues and missing employee data, the underlying employee record is almost always the first place to check. Ensuring that every required field — especially date of birth and hire date — is populated during initial setup prevents most problems before the report is ever generated.
