QuickBooks Desktop's New Shipping Manager: Where to Find It and How to Set It Up
A guide to where the new Shipping Manager appears in QuickBooks Desktop and the sign-in, funding, and permission steps its setup requires.
QuickBooks Desktop users have been working through the arrival of the new Shipping Manager, and the first question in most community threads is simply where it lives. The feature is not parked in a single window. It reaches from the File menu to the Send/Ship tab on individual transactions, and in Enterprise editions it extends into the Sales Order Fulfillment Worksheet. Getting from any of those doorways to a printed label runs through a chain of admin sign-ins, wallet funding, and permission changes, and each missing link produces a different dead end.
Four ways in
The main console sits under the File menu: open File and choose Shipping Manager. From a transaction, open any invoice or sales receipt and switch to the Send/Ship tab, where Shipping Manager appears alongside the usual delivery options. Enterprise users get a fourth entrance through the Sales Order Fulfillment Worksheet on the Customer tab, with two conditions attached: the worksheet exists only in QuickBooks Desktop Enterprise, and Advanced Inventory has to be turned on. From there, select a sales order, open the dropdown in the Action column, and choose the option to ship with Shipping Manager. What first-run setup asks for
Inside the manager, choose Get Started. The setup then requires a sign-in with the Master Administrator’s Intuit Account credentials, not an ordinary user login, and this is the first point where people stall. Agreeing to the ShipEngine terms of service comes next, since the label service runs on that platform. The remaining fields are practical: the address packages will ship from, and a credit card for charges. Confirm finishes the process.
Why a regular user cannot get in
Permissions are the next stumbling block. Only the QuickBooks admin user can edit roles and permissions, so that sign-in is required for this part. The path runs through Company, then Users, then Set Up Users and Roles, with the admin password requested along the way. Select the user in question, confirm the role they currently hold, move to the Role List tab, and edit that role. In the edit window, under the File section, sits a Shipping entry. Granting full access there is what puts Shipping Manager within reach of that user. Until the switch is flipped, the feature stays out of reach for everyone below admin, a symptom that often reads as a bug rather than a setting. Funding the wallet
Labels draw from a prepaid wallet rather than a per-shipment bill. To add money, go to Company, then My Company, and sign in with an Intuit Account that is listed as an active user in Intuit Account User Management. Choose Add Funds, enter the amount, and confirm with Add Now. Auto-funding can be switched on so the balance refills itself, governed by three settings: a balance threshold that triggers the refill, a refill amount, and a daily limit on how many times the wallet can top itself up within a day. Bringing your own carrier accounts
The Manage Carriers screen, on its Additional Carrier tab, handles connections to carrier accounts you already hold. For FedEx, choose Connect Carriers, pick FedEx from the list, accept its terms, enter the account details, and connect. UPS follows a similar path, with account details plus a username and password, finished with an authentication step. Stamps.com asks for account details along with an Account ID, a username, and a password, again ending in authentication. Once linked, those accounts sit alongside the built-in label purchasing.
Buying the label
Two routes cover the purchase itself. Standalone, choose Purchase shipping label from within the manager. Or work from the transaction: open the invoice or the sales receipt, call up Shipping Manager, and choose Purchase Shipping Label there. Enterprise users can also begin the purchase from a sales order inside the fulfillment worksheet.
The pattern across community threads is consistent. The Shipping Manager works once the full chain is complete: the Master Administrator sign-in, the role change for anyone who is not admin, wallet funding, and the carrier links. Skip any one of them and the symptom looks like a different problem entirely, which is why so many discussions of the feature circle back to setup rather than to shipping itself.
