QuickBooks Desktop Point of Sale 19.0 reached end of life on October 3, 2023, cutting off a suite of connected services that many retailers rely on to run their stores. Intuit retired the platform after more than two decades, citing the difficulty of maintaining its aging architecture and adding new features. The discontinuation leaves store owners scrambling to understand what still functions, what does not, and where to take their retail operations next.

What Stopped Working

The October 3, 2023 shutdown affected several connected services tied to QuickBooks Desktop Point of Sale 19.0. Payment processing through QuickBooks Point of Sale Payments ended, meaning retailers can no longer run credit card transactions through the software. The Gift Card Service went offline, blocking the issuance and redemption of store gift cards through the system. Mobile Sync ceased, as did Intuit Store Exchange, which multi-location retailers used to share inventory and sales data across stores.

Webgility ecommerce integration stopped functioning, severing the link between the point of sale system and online sales channels. Live technical support via phone, email, and chat ended for the product. The Vendor Lookup Service also went dark.

What Still Works

The desktop software itself has not been disabled. Retailers can continue opening QuickBooks Desktop Point of Sale 19.0 in offline mode to access existing data. Past transactions remain viewable inside the software, including sales receipts, receiving vouchers, purchase orders, and sales orders. Customer history and records stored locally are still accessible.

However, running discontinued software carries real risk. Intuit no longer issues critical security patches or feature updates for the product. That means any newly discovered vulnerability will go unaddressed, and the software will not receive compatibility fixes as operating systems evolve.

Transitioning to Shopify

Intuit has directed affected retailers toward Shopify as the preferred replacement for point of sale functionality. The migration path involves moving key data from QuickBooks Desktop Point of Sale into a Shopify account.

What Transfers

Retailers can migrate their product catalog, including inventory quantities tracked at each location. Customer data and vendor records can be brought over, along with customer notes and outstanding customer balances.

What Does Not Transfer

Several categories of data cannot be moved automatically. Product images require a manual export from QuickBooks Point of Sale and a separate import into Shopify, typically using a third-party app designed for that purpose.

Historical transactions do not migrate at all. Sales receipts, receiving vouchers, purchase orders, and sales orders remain locked in the QuickBooks Point of Sale software. Retailers who need to reference past transactions must keep the old software accessible on at least one workstation to view that history.

Alternative: The QuickBooks Mobile App

For retailers who do not need a full storefront point of sale system, the QuickBooks mobile app offers a lighter-weight alternative. The app supports Tap to Pay on iPhone, turning the phone itself into a contactless card reader without requiring a separate hardware device. A Bluetooth card reader is also an option for businesses that prefer dedicated payment hardware.

The mobile app lets users create invoices or record sales and collect payment on the spot. Receipts can be sent to customers by text message or email. The app supports tips and discounts, displays sales and cash flow reports, and allows business owners to invite unlimited team members while controlling access to sensitive financial data. Transactions sync automatically to QuickBooks Online, eliminating the manual data entry that a disconnected point of sale system would require.

Planning the Switch

Retailers still running QuickBooks Desktop Point of Sale 19.0 face a decision: migrate to Shopify for a full retail POS experience, adopt the QuickBooks mobile app for simpler payment collection, or explore another third-party point of sale platform entirely.

The key constraint is data. Product lists and customer records move relatively cleanly, but transactional history does not. Store owners should export any reports they may need for tax, accounting, or business analysis purposes before transitioning, since the old software will not receive updates and may become increasingly difficult to run on newer hardware and operating systems over time. Businesses that need to keep older QuickBooks Desktop versions functional after discontinuation can explore options for maintaining unsupported installations, though the connected services will remain permanently offline.
