QuickBooks Desktop 2023 update adds sunset warnings and retires old shipping tool
A March 2026 release for QuickBooks Desktop 2023 warns that connected services are ending, retires the old Shipping Manager, and changes 1099 mappings.
In late March 2026, QuickBooks Desktop 2023 and Enterprise 23.0 picked up a maintenance release whose main business is farewells. It plants in-product prompts about service shutdowns, and it follows a December release that retired the old Shipping Manager for good. A quieter 1099 change rides along with it.
Sunset prompts name the services going dark
The prompts list the connected services headed for shutdown one by one. Online banking is on the list, along with payroll, payments and e-invoicing, and the built-in email tool. Accountant Copy File Transfer is there too. That is the service which packages a trimmed copy of your books for your accountant to review.
Multicurrency users lose the automatic download of exchange rates. Contributed reports lose their community sharing and rating features. Time tracking through TSheets, an add-on now sold as QuickBooks Time, is named as well. The vendor’s list runs longer, and one entry appears only as an abbreviation with no explanation anywhere in the notes. We leave that one out rather than guess at what it means.
A date that does not add up
The notes attach a cutoff of May 31, 2024 to those shutdowns. A release dated March 2026 cannot sensibly warn about a deadline from 2024, and the mismatch reads like an error in the notes rather than a schedule. The vendor’s long-standing pattern ends add-on services after May 31 of a version’s third year. Applied to the 2023 line, that points to May 2026. Take the prompts seriously and the printed year lightly.
What actually stops when services end?
Nothing gets uninstalled when the cutoff arrives. The 2023 program keeps opening company files and recording transactions. What stops is anything that needs the vendor’s servers: bank feed downloads, payroll tax table updates, payment processing, and email sent from inside the program. Plan around those, not around data loss.
The old Shipping Manager is gone for good
The other shoe dropped in the December 11, 2025 release. The old Shipping Manager stopped being available after December 7, 2025, and the new Shipping Manager is the replacement. If the new tool does not appear in your copy of the program, the accepted fix is simple: update to the latest release and it should appear.
Virginia payroll records now need a job title
Virginia payroll picked up a new requirement in that same December release. The Job Title field became mandatory for any employee subject to Virginia payroll taxes, and it must be filled in before you can save a new record or update an existing one. Nothing else about the record changes; the field simply refuses to let a record through without a value.
The 1099 mapping change deserves a second look
The March notes also touch the 1099 account mappings for excess golden parachute payments. The stated move, from Box 14 on Form 1099-MISC to Box 3 on Form 1099-NEC, does not match the printed forms. The NEC has no Box 3 at all; its boxes skip from 1 to 4.
Golden parachute payments remain a 1099-MISC matter, and the MISC has carried that line for years. Open the 1099 mapping screen before filing season and confirm where those payments land. If a mapping points at a box the form does not use, move it to the correct line before you file.
Quiet builds came and went
Four builds between August and October 2025 shipped with no release notes at all. The vendor advanced build numbers only. An update prompt during that stretch meant maintenance, not new features, and that is normal.
Practical steps before services end
Keep automatic updates on, or check for updates manually from inside the program. Set up the new Shipping Manager before you need to ship anything. Walk your 1099 mappings and any Virginia employee records through the checks above. Most of all, plan the move off the 2023 line: after the cutoff, connected features go quiet even though the books stay open. The vendor’s own pattern puts that cutoff in May 2026, and waiting until the prompts turn into outages helps no one.
