QuickBooks Arkansas Form AR3MAR Annual Reconciliation: What Gets Prefilled

QuickBooks users filing Arkansas Form AR3MAR can rely on automatic prefilling of withholding data, but certain fields require manual review before the January 31 deadline.

QuickBooks Desktop users responsible for filing Arkansas Employer’s Annual Reconciliation of Income Tax Withheld — Form AR3MAR — have raised questions about which fields the software populates automatically and where manual entry is still required. The form, which reconciles state income tax withholding for the year, is due to the Arkansas Department of Finance and Administration by January 31 of the following year, accompanied by the ARW-3 transmittal and copies of all W-2 and 1099 statements. Employers reporting 250 or more employees and payees must file those statements electronically.

How QuickBooks Handles the Form

When all company, payroll, and employee data has been entered into QuickBooks throughout the year, the software preills the majority of fields on the AR3MAR. Users are advised to review the form for any gaps — fields QuickBooks did not populate — and enter the missing information before filing. In most cases, complete records in QuickBooks mean little to no manual data entry is needed.

Account ID Formatting

QuickBooks pulls the Arkansas account number from the company’s state payroll setup. A valid Arkansas withholding account ID follows a specific 12-character structure: eight numeric digits, a hyphen, and the letters “WHW.” If no state account number has been entered in QuickBooks, the software falls back to the federal Employer Identification Number as the Account ID — which will not match the required Arkansas format and should be corrected before filing.

Withholding and Payment Columns

The form divides withholding data into two columns. Column A reflects the actual Arkansas state tax withheld each month, while Column B shows the net amount of withholding tax actually paid — meaning total payments minus any refunds received for specific periods. QuickBooks calculates both the monthly figures and the annual totals for each column from the payroll data already recorded.

The total in Column A for the year should match the combined Arkansas tax withheld across all employee W-2 forms. A mismatch between these figures typically signals a data-entry discrepancy somewhere in the year’s payroll records that needs to be tracked down before the reconciliation is filed.

Tax Due Calculations

If total tax withheld exceeds total tax paid for the year, QuickBooks enters the difference as tax due on the form. Any balance owed must be paid by check or money order made out to the Department of Finance and Administration and mailed to P.O. Box 8055, Little Rock, AR 72203-8055. Underpayments are subject to penalties and interest computed from the original due date of the withheld tax through the date payment is actually received.

Employee Count

QuickBooks tracks the number of employees who had state tax withheld during the year and populates that figure on the form. Depending on the situation, this number may be modifiable — useful if an employee appears in the count erroneously or a separation was not properly recorded.

What to Watch For

The most common issue users encounter is the Account ID defaulting to the federal EIN when the Arkansas state account number was never entered into the company’s payroll settings. Because the form expects the eight-digit-plus-“WHW” format, an EIN in that field will not be accepted by the state. Verifying that the correct Arkansas withholding account number is stored in QuickBooks before generating the form avoids this problem.

Users also report confusion when the total tax withheld on the form does not match the W-2 totals. Since QuickBooks derives both figures from the same payroll data, a discrepancy usually points to a W-2 that was adjusted or a paycheck modification made after the form was generated. Regenerating the AR3MAR after any late-year payroll corrections should bring the totals back in line.
