What Form HW-3 Does

Two copies of the return with attached employee copies must be filed on or before the last day of February following the close of the calendar year. Businesses that terminate or stop paying wages must file the final HW-3 at the same time they submit their last periodic return, Form HW-14. When a deadline lands on a weekend or state holiday, the return is considered timely if filed on the next business day.

To open and review Form HW-3, go to the Employees menu, select Payroll Forms, then choose Process Payroll Forms. From the list of available forms, select the Hawaii HW-3. The Hawaii Tax ID Number should begin with the letter “W” followed by eight digits and a two-digit sequence number. An incorrect ID can cause processing delays or rejection by the Department of Taxation.
Number of W-2s
QuickBooks calculates the W-2 count based on employee data in the file. If your business issued a different number of W-2s than what QuickBooks tracked — for example, due to manual adjustments or corrections outside the software — enter the correct count manually on this line.
Line 3a — Penalties
Penalty amounts do not auto-calculate in QuickBooks. If penalties apply, enter the amount on Line 3a based on notices or assessments received from the Hawaii Department of Taxation.
Filing and Saving the Return
Completed returns should be mailed to the Hawaii Department of Taxation at P.O. Box 3827, Honolulu, HI 96812-3827. QuickBooks allows you to save a copy of the finished form as a PDF for your records — use the save option in the form window before closing it.
