QuickBooks and Arizona Form A1-R: What Gets Prefilled and What You Fix Yourself

QuickBooks prefills most of Arizona's annual withholding reconciliation form, but W-2c, W-2G, and 1099-R amounts require manual entry and amended returns aren't supported.

QuickBooks Desktop handles the heavy lifting on Arizona’s annual withholding reconciliation return, but employers filing Form A1-R should know where the software’s calculations stop and manual entry takes over. The form reconciles withholding liability and payments across all four quarters of the tax year against the total tax withheld as reported on federal Forms W-2, W-2c, W-2G, and 1099-R. It also serves as the transmittal document for the state copies of those same federal forms.

Who Needs to File and When

Any employer or withholding agent who withheld Arizona income tax during the preceding calendar year must submit Form A1-R. The return is due to the Arizona Department of Revenue on or before February 28 of the following year. When that date falls on a weekend or holiday, the deadline shifts to the next business day. Completed returns go to the department’s Phoenix post-office box.

What QuickBooks Fills In Automatically

For most users, the experience is straightforward. QuickBooks prefills the majority of fields on the A1-R using the company, payroll, and employee data already stored in the company file. If all payroll records for the tax year were processed through QuickBooks, there is typically little or no additional data entry required. Users should still review every field the software did not populate and complete those manually before filing.

The built-in Help button on the form window provides guidance on navigating the form itself and troubleshooting specific issues. Hyperlinks within the form window let users trace where specific numbers originated in QuickBooks, which is useful for verifying accuracy before submitting the return to the state.

The W-2c, W-2G, and 1099-R Gap

This is where many filers run into confusion. QuickBooks only tracks and calculates W-2 withholding amounts natively. If an employer also issued W-2c (corrected W-2), W-2G (gambling winnings), or 1099-R (pensions and annuities) forms with Arizona tax withheld, those amounts will not flow into the A1-R automatically.

To account for them, users must manually enter the quarterly withholding liability for those additional form types in Lines A through E of the smart worksheet that sits above Line 1 on the form. The amounts entered there are then added to Lines 6 through 9, rolling them into the overall reconciliation. Failing to complete this step means the reconciliation will understate total withholding.

Overpayments, Underpayments, and Amended Returns

If an employer discovers a discrepancy after the fact — either an overpayment or underpayment of withholding liability — Form A1-R is not the vehicle for resolving it. Those adjustments must be handled through an amended Form A1-QRT, the quarterly withholding return. Users can submit an amended A1-QRT to claim a refund for an overpayment or to submit additional payment for a shortfall.

QuickBooks does not support amended A1-R returns at all. Employers who need to file one must follow the instructions provided by the Arizona Department of Revenue for that form and handle the process outside the software.

Exporting and Saving Form Data

For recordkeeping or further analysis, QuickBooks offers options to summarize payroll data in Microsoft Excel and to save a copy of the completed payroll form as a PDF. The Excel export can help with cross-referencing quarterly figures or building custom summaries, and the PDF copy provides a static snapshot of the filed return for internal archives.

Practical Takeaway

The A1-R is one of the more automated state payroll forms in QuickBooks, provided all withholding ran through W-2 wages processed in the company file. The moment non-W-2 withholding enters the picture — through corrected wage statements, gambling winnings, or retirement distributions — users need to take manual control of Lines A through E. And anyone who discovers an error after filing should bypass the A1-R entirely and work through the A1-QRT amendment process with the state revenue department.
