QuickBooks and Arizona Form A1-APR: What Fills Automatically and What You Must Enter
QuickBooks prefills most of Arizona's annual withholding return, but W-2c, W-2G, and 1099-R amounts require manual entry — here is what to check.
QuickBooks Desktop’s built-in payroll forms handle most of the heavy lifting for Arizona’s annual withholding return, Form A1-APR, but employers who issue certain supplemental forms are running into gaps where the software stops tracking data automatically. The result is a return that looks complete on screen but may be missing amounts the Arizona Department of Revenue expects.
What Form A1-APR Covers
Form A1-APR is the Arizona Annual Payment Withholding Tax Return. Employers and other withholding agents use it to report income tax withheld from employees and remitted to the state over the full calendar year. The return is due by January 31 following the tax year being reported; when that date falls on a weekend or holiday, the deadline shifts to the next business day.
One important filing note: employers who file Form A1-QRT should not file Form A1-APR. Instead, those filers use Form A1-R. Getting that distinction wrong can lead to unnecessary paperwork or processing delays.
What QuickBooks Fills Automatically
When you open the A1-APR form from within QuickBooks, the software populates most fields using the payroll data already in your company file. The program lists quarterly amounts of Arizona income tax withheld, broken out by quarter, so you can see the building blocks of your annual total.
For most employers whose company setup, payroll items, and employee records are all current and accurate in QuickBooks, the form requires little to no manual data entry beyond reviewing what the software has produced. That said, the system does not verify every field — filers are expected to review anything QuickBooks left blank and confirm the prefilled numbers match their own records.
Where QuickBooks Stops Tracking
The core limitation users encounter involves supplemental withholding forms. QuickBooks tracks and calculates only W-2 withholding amounts. If your business also issued Forms W-2c, W-2G, or 1099-R — all of which can involve Arizona income tax withholding — those figures will not appear on the A1-APR automatically.
Withholding Tax Liability for Supplemental Forms
To include withholding from W-2c, W-2G, or 1099-R forms, you need to enter the quarterly withholding liability for those forms manually. The A1-APR form window in QuickBooks includes a smart worksheet above Line 1 with lines labeled A through D. Amounts entered on those lines are added to the corresponding quarterly withholding liability figures that sit above Line 1, bringing your supplemental withholding into the annual total.
Payments Previously Made
The same limitation applies to tax payments. QuickBooks tracks payments made on W-2 withholding, but if you made separate payments for income tax withheld on 1099 statements — outside of what QuickBooks recorded — those payments will not flow onto the form. You enter those amounts on Line E of the same smart worksheet above Line 1. The value you put there gets added to Line 2, which covers withholding tax payments previously made.
Counting Your Forms
Line 3 asks for the total number of Forms W-2, W-2c, W-2G, and 1099-R issued. QuickBooks counts W-2 forms automatically but does not include 1099 statements in that tally. If you issued 1099 forms with Arizona withholding, you need to add them to the count manually so the total reflects all forms filed.
Amended and Early-Filed Returns
QuickBooks does not support amended A1-APR returns. If you need to correct a previously filed return, you will need to follow the Arizona Department of Revenue’s own instructions for amending.
For employers filing before the end of the calendar year — an early-filed return — the form window includes a checkbox to indicate that status.
Reviewing and Saving the Form
QuickBooks provides hyperlinks within the form window that explain how withholding amounts were calculated and where specific numbers originated. These links are useful for reconciling the prefilled data against your payroll records.
The form window also includes options for summarizing payroll data in a spreadsheet format and saving a copy of the completed form as a PDF for your records. For employers with straightforward W-2-only payroll, the A1-APR in QuickBooks is largely a review-and-file exercise. Those amounts live outside QuickBooks’ automatic tracking and require manual entry on the smart worksheet before the return accurately reflects your full withholding activity for the year.
