The interview determines which of three related forms the software generates — Form 943 itself, the daily-liability Form 943-A, and the payment voucher Form 943-V. Understanding how each answer drives form generation can prevent filing errors and missing pages.

The Interview Sheet

When you open Form 943 in QuickBooks, the software does not drop you onto a blank form. It first presents an interview sheet — a sequence of questions that tells QuickBooks which forms apply to your operation and how to handle payments and overpayments.

The interview opens with a threshold question about Form 943-A, then moves through address changes, final-return status, overpayment handling, and deposit-method questions that determine whether Form 943-V is computed.

Form 943-A: Who Needs It

Form 943-A is the daily record of federal tax liability for agricultural employers. QuickBooks generates it only when the circumstances require it.

You need Form 943-A if your deposit schedule is semi-weekly, or if your schedule is monthly and you accumulated $100,000 or more in tax liability during any single month or on any given day during the year.

Answering the 943-A Question

The interview asks directly: Are you a semi-weekly depositor, or a monthly depositor required to file Form 943-A?

  • Yes — QuickBooks produces Form 943-A alongside Form 943.
  • No — QuickBooks produces only Form 943, unless you override the logic.

A separate checkbox lets you force Form 943-A to print regardless of whether the standard rules require it. This is useful when you or your accountant have determined the form is necessary even though the automated thresholds were not triggered.

Deposit Schedule Terminology

The labels “monthly schedule depositor” and “semi-weekly schedule depositor” describe the set of IRS deposit rules you follow — not how frequently you pay employees or make deposits. Form 943: Return Options

After the 943-A questions, the interview collects standard return-level details:

  • Final return — Check this if you will not need to file Form 943 in future years, typically because you ceased agricultural payroll operations.
  • Address change — Check this if your filing address differs from what appeared on your prior return.
  • Overpayment — If your deposits exceeded your actual tax liability, choose whether to apply the overpayment as a credit toward your next return or receive a refund.

These selections carry directly onto the printed form, so verifying them before completing the interview saves a correction cycle later.

Form 943-V: The Payment Voucher

Form 943-V is a payment voucher attached to Form 943. QuickBooks computes it automatically only under specific conditions, and the interview asks two questions that control the outcome.

Question: Required to Make Deposits by Electronic Funds Transfer?

Answer Yes or No. Your answer here interacts with your deposit method and total tax liability to determine whether the voucher prints.

When Form 943-V Is Generated

QuickBooks produces Form 943-V when one of the following applies:

  1. Net taxes under $2,500 — If your net taxes for the year (Form 943, line 13) are less than $2,500 and you pay the balance in full with a timely filed return, QuickBooks computes the voucher automatically. No special selection is needed.

  2. Monthly depositor using the Accuracy of Deposits Rule — A monthly schedule depositor making a payment under this rule may owe $2,500 or more. In this situation, answer No to the electronic funds transfer question so QuickBooks generates the voucher.

Forcing Form 943-V

A checkbox at the bottom of the interview — labeled to indicate it overrides the standard logic — lets you instruct QuickBooks to compute Form 943-V regardless of your deposit method. Use this only when you are certain a voucher is required despite the automated rules suggesting otherwise.

The interview sheet appears each time you open the Form 943 workflow, so you can revisit your answers if circumstances change during the filing season. Walk through each question in order rather than skipping ahead, because earlier answers — particularly the 943-A threshold question — influence what QuickBooks generates downstream.

If you file Form 943-A by overriding the automatic logic, double-check the daily liability entries on the generated form before filing. QuickBooks populates these from your payroll data, but the override path means the software did not validate the entries against its own thresholds.
