ProAdvisor training and certification: the rules users keep asking about

Accountants in QuickBooks Online keep hitting the same ProAdvisor questions: exam order, attempt limits, CPD credits and annual recertification.

COMMUNITY ISSUESQUICKBOOKY

Accountants and bookkeepers working inside QuickBooks Online Accountant keep arriving at the same small set of questions about the ProAdvisor programme. The training material is spread across several tabs, the two certification levels have been renamed, and the rules that matter most sit in the detail rather than the headline. Intuit publishes guidance that covers all of it. The trouble is that most readers meet the detail after they have already booked an exam, or after a renewal date has quietly passed.

What follows is drawn from that published guidance. Where local administration differs, the wording shown in your own account is the version that applies to you.

Two tabs carry most of the training record

Training arrives in several formats. Intuit runs a ProAdvisor Academy with a published schedule of upcoming sessions, and self-paced and on-demand material sits alongside the live programme. Webinar registration happens from the Learn tab on the ProAdvisor page inside QuickBooks Online Accountant.

The record of what has been completed lives somewhere else. The My History tab lists active certifications and the full training history, and certificates, CPD certificates included, can be downloaded from there. People lose time because they expect one screen to do both jobs.

Prep sessions are separate from the exam

Preparation is offered as webinars, virtual conferences and on-demand sessions, with the live ones registered for from the Learn tab. The prep itself is optional. Test out exists for candidates who would rather attempt the exam without it. Course descriptions inside QuickBooks Online Accountant state any prerequisites, so the assumptions behind a session can be checked before signing up rather than halfway through.

Does the order of the two certifications matter?

Yes, and the renaming adds to the confusion. Level 1 was previously called QuickBooks Online certification, and Level 2 was previously QuickBooks Online Advanced. Level 1 comes first. Level 2 is designed to follow it, and Intuit advises leaving at least 90 days between the two. That gap is worded as a recommendation about readiness, not as a gate the software enforces.

Exam attempts and the 30-day lockout

The attempt limit carries the sharpest consequence. A candidate who does not pass after a third attempt is locked out for 30 days. When the lockout ends, the full exam has to be sat again; there is no short retake to fall back on. Treating three attempts as the working budget is the sensible planning assumption.

Credits and the variable count

CPD credits are awarded for completing training, not for holding a certification. Intuit states that the number and type of credits vary by course, so the credit value attaches to the individual course rather than to the programme as a whole. Terminology and administration are set locally, which means the labels and credit types shown in your own account are the ones that apply where you work. A UK-facing reader meets the CPD framing; other regions may present equivalent training under different credit language.

Recertification and the Level 2 trap

Recertification runs annually for both levels. The linkage between them is the part most often missed. Recertifying at Level 2 also recertifies Level 1, so a single exam covers both. Once someone holds Level 2, there is no route to recertify Level 1 on its own.

Skip the Level 2 recertification and both levels are de-certified. The ProAdvisor Profile is unpublished and ProAdvisor Points are reduced. For anyone who has stepped away from the programme for a year, that is a heavier outcome than an annual cycle implies.

Checking status before it matters

Status can be confirmed at any time, which is the simplest protection against a lapsed certification. Sign in to QuickBooks Online Accountant, open Firm hub, select ProAdvisor, then ProAdvisor training, then Start learning. The My History tab shows every certification and every completed course, and certificates can be downloaded from it.

Reading that page well before a renewal date is easier than discovering a de-certification afterwards. It also settles the most common doubt, which is whether a certification is still live or has already expired.

The rules that settle it

Nothing here is fixed by a workaround or an obscure setting. The programme rules themselves are what resolve the confusion, and they reward being read before an exam is booked rather than after. Level 1 before Level 2, with a recommended gap of at least 90 days. Three attempts at an exam, then a 30-day lockout and a full re-sit. CPD credit awarded per completed course, with the value varying by course. Annual recertification, where Level 2 carries Level 1 with it and a missed renewal affects both.

Put those five points next to the My History tab, and the programme becomes far less opaque than the volume of material suggests.
