Printing 1099 and 1096 Forms in QuickBooks Desktop
QuickBooks Desktop users running into issues printing 1099 and 1096 forms can resolve alignment and blank output errors by updating to the latest release and adjusting browser PDF settings.

Tax season means 1099 season, and every year a fresh wave of QuickBooks users runs into the same roadblocks when trying to print vendor tax forms. Whether the alignment is off, the forms come out blank, or the system refuses to generate a physical copy, the printing process in QuickBooks Desktop has specific requirements that trip up even experienced users. Here is what the community is encountering and what actually works to get forms printed correctly.
The Latest Release Requirement
The single most common reason 1099 forms fail to print correctly in QuickBooks Desktop is an outdated software version. Intuit pushes updates that include the current year’s form templates and alignment fixes, and if your installation is not current, the output will not line up properly on pre-printed IRS stock.
To resolve this, users need to update QuickBooks Desktop to the latest release. The critical step that many miss is selecting the Reset Update checkbox when forcing the update. Without resetting the update download, stale or corrupted form templates can persist on the system. Once the update completes and QuickBooks restarts, the corrected form layouts should be available.
Printing 1099s in QuickBooks Desktop
Once you are confirmed to be on the latest release, the path to printed forms runs through the Vendors menu. Navigate to Vendors, then 1099 Forms, then Print/E-file 1099 Forms. Before you can print anything, you have to actually create the forms for the tax year — QuickBooks will not generate physical copies of forms that have not been prepared in the system.
In the filing method window that appears, choose either Print 1099-NEC or Print 1099-MISC, depending on which form your vendors require. You will then specify the date range for the forms and select the specific vendors you need to print for. A common mistake here is assuming all eligible vendors are selected by default — you have to explicitly check each vendor you want included.
After selecting Print 1099, take a moment to verify your printer settings in the final dialog before committing. Incorrect paper orientation or scaling settings at the printer level can ruin the alignment even when QuickBooks itself is configured correctly.
Printing Form 1096
Form 1096 is the Annual Summary and Transmittal of US Information Returns, and it accompanies batches of 1099 forms sent to the IRS. In QuickBooks Desktop, you print it from the same workflow. When you reach the print selection screen, choose Print 1096s instead of the individual 1099 option.
One point of confusion: you cannot print a 1096 until the associated 1099 forms have been created in the file. If the option is grayed out or missing, go back and complete the 1099 creation step first.
QuickBooks Desktop for Mac
Mac users follow a nearly identical process but with slightly different menu labels. After updating to the latest release — which is just as mandatory on the Mac side — go to Vendors, then 1099 Forms, then Print or E-file 1099/1096. The filing method window offers Print 1099-NECs or Print 1099-MISCs. From there, specify the date range and select vendors before printing.
Browser PDF Conflicts
For users who access 1099 preparation through QuickBooks Online or who download PDF copies of completed forms, the browser itself is often the culprit when forms will not print or display correctly.
Google Chrome has a setting that can interfere with PDF printing. Navigate to Chrome’s Settings, then Privacy and security, then Site settings. Under Additional content settings, find PDF documents and toggle on the option to download PDF files instead of automatically opening them in Chrome. This forces the PDF to open in a dedicated viewer — typically Adobe Acrobat or Reader — which handles the form alignment more reliably than Chrome’s built-in renderer.
Firefox users should check their Applications settings. Under Options and General, locate Portable Document Format (PDF) in the Applications list and ensure the Action column is set to open with a proper PDF viewer rather than the browser’s internal tool.
A simpler workaround that works across browsers: right-click the downloaded PDF file, select Open with, and choose Adobe Acrobat or Reader from the list. Printing from within Adobe’s application bypasses browser rendering issues entirely.
QuickBooks Online Limitations
Users preparing 1099s through QuickBooks Online or QuickBooks Online Contractor Payments should be aware that these products do not provide Form 1096 at all. To obtain equivalent summary information, you can select View Summary from the Completed forms tab. This generates a summary report that covers the same data points, though it is not a substitute for the actual IRS transmittal form if one is required for a paper filing.
For e-filing, QuickBooks Online offers direct electronic filing with the IRS through the Information Returns Intake System (IRIS), or you can e-file through QuickBooks for a fee. When electronic filing is complete and you still need physical copies for vendors, choose the Print and mail instead option and follow the on-screen alignment checks before sending forms to the printer.
