Payslips not showing or not emailing in QuickBooks Advanced Payroll
QuickBooks Online Advanced Payroll users report missing payslips and failed emails; here is what resolves viewing, sending, and printing them.
Payslip problems surface steadily among QuickBooks Online Advanced Payroll users in the UK, and they follow a predictable shape. A payslip that seems to have vanished, an email that never lands, a bulk send that refuses to start: each complaint has a known cause and a short fix. We walked the menus to confirm the sequences that settle these threads, and none of them take more than a minute.
Payslips appear only after a pay run is finalised
The most common complaint is the simplest one. A user opens payroll expecting payslips and finds the list empty. The software is behaving as designed. Payslips exist only on finalised pay runs in this product, so a run still in progress will show nothing at all.
There are two ways in once the run is finalised. Hover over the pay period on the Pay Runs screen and a Payslips button appears. Alternatively, open the Pay Runs tab, choose the date, and pick Payslips from the pay run actions bar.
The button opens a small dropdown. All payslips shows every employee slip for that run. Manual notifications narrows the list to people who receive nothing by email or text, which suits teams that hand slips over in person. A locations filter narrows further if you pay staff across several sites.
Printing runs through the same screen. Choose View Payslips, then Download Payslips, and you get a PDF to print or file. One gap catches people out: P45 details from a previous employer do not appear here, so this screen is not a full employment record.
How do you email payslips when you finalise a pay run?
Emailing can happen at the moment of finalisation, and that is the route most users want. Open the pay run and begin finalising it as usual. Before you confirm, select Make payslips available to employees now, then set the date the slips should become accessible. Finalise the run and select Publish Payslips. Every employee then gets a notification that their pay has been processed.
Resending a payslip to one employee
Slips can also go out later, one person at a time. Go to Employees, open the individual’s record, and select Payslips. Pick the month in question, then choose Email or Download. The download doubles as a reprint for anyone who has lost a paper copy.
When a slip never arrives, two settings are worth checking first. In the employee’s settings, under Pay run defaults, confirm the payslip notification is set to Email. Then open the employee’s details and confirm the address on file is correct. A wrong address fails quietly, which makes it the likeliest culprit behind a missing payslip.
Can payslip emails be password-protected?
No. The software does not send password-protected payslip emails, and users who need that protection hit the same wall every pay cycle. The secure alternative is the employee portal, where slips sit behind each employee’s own login and pay data stays out of inboxes. If confidentiality is the concern, the portal is the better channel. Treat the email as a courtesy nudge rather than the record itself.
Bulk sending depends on the sender address
Bulk sending stumbles for many users because one prerequisite is easy to miss. The slips must go out from a nominated address. Set it under Payroll, then Payroll Settings, then Payslips: enter your preferred From email address and save. Until that field is filled, bulk delivery has nothing to send from. Pick an address you actually monitor, because payroll information is sensitive and delivery problems deserve a quick sighting.
The short version
Most payslip friction in QuickBooks Online Advanced Payroll traces back to three rules. Payslips exist only on finalised runs, so an empty list usually means the run is not closed yet. Email delivery depends on a correct employee address and a nominated sender address. Password protection lives in the employee portal, not in email. Work with those rules and the payslip queue behaves.
