Payslip access and email limits in QuickBooks Online Advanced Payroll
Payslips in QuickBooks Online Advanced Payroll only appear once a pay run is finalised, and email delivery has limits that the accepted guidance addresses.
Payslip questions are a steady presence among QuickBooks Online Advanced Payroll users in the United Kingdom. The symptoms repeat from one report to the next: payslips that appear to be missing, notifications that never arrive, and bulk sends that fail without an obvious reason. The accepted answer, from the vendor’s own payroll guide, walks through the whole sequence. It starts with a constraint worth knowing before anything else. Most of the confusion dissolves once the order of operations is clear.
Payslips stay hidden until a pay run is finalised
The most common tripwire is timing. Payslips in this product exist only once a pay run has been finalised. Go looking before that point and the screen shows nothing, which reads like data loss. It is not. Finalisation is the gate, and payslips sit behind it.
That same view serves a second purpose. Some employees prefer payslips handed over on paper rather than sent electronically, and this screen is the practical place to print from.
Two routes to the payslip list
There are two ways in. The first: open Payroll, go to Pay Runs, and hover over the pay period; a Payslips button appears. The second: from the Pay Runs tab, choose the date you need, then pick Payslips from the pay run actions bar.
Either way, a dropdown follows with two options. All payslips shows every employee’s payslip. Manual notifications shows only the payslips of staff who receive nothing by email or text message, which is the useful view on handout day. A locations filter narrows the list to particular work sites.
Printing runs through the same screen. Select View Payslips, then Download Payslips for a PDF copy. One caveat from the guidance: P45 information from previous employment does not appear here.
Emailing payslips as you finalise a pay run
Delivery can happen at the moment of finalisation. Open the pay run from the Pay runs tab. During finalisation, select the option to make payslips available to employees now, and set the date they should become accessible. Then finalise the run and publish the payslips. Choosing a later date staggers availability, if you want payslips to unlock on payday itself rather than at finalisation.
Employees receive a notification telling them their pay has been processed. The publish step is easy to miss. Nothing reaches employee hands until it happens.
Can you resend a payslip later?
You can, one employee at a time. Go to Employees, select the person, and open their Payslips tab. Choose the month, then Email or Download as needed.
When a payslip never arrives, two checks usually locate the fault. In the employee’s settings, under Pay run defaults, set the payslip notification to Email. Then confirm the email address on the employee’s details is correct. A mistyped address, or a notification routed to a channel nobody reads, accounts for the silent failures we hear about.
Password-protected payslip emails are not supported
This is the gap that catches careful employers out. The software does not support password protection on payslips sent by email, so the document travels as an ordinary attachment. The accepted answer points to the alternative: employees can reach their payslips securely through the employee portal.
Treat email as the convenience and the portal as the secure channel. Anyone with a policy against unprotected payroll attachments will need to lean on the portal. A payslip carries bank details and pay figures, which is why the absence of protection bothers people.
Bulk sending needs a sender address first
Bulk emailing fails quietly until one piece of setup is done. The system must be told which address payslips are sent from. Go to Payroll, open Payroll Settings, select Payslips, and enter your preferred address under the From email address heading. Save, and bulk sending is ready.
The guidance pauses on this setting for a reason. Payroll information leaving a shared or generic mailbox is sensitive, so the sender address is worth choosing deliberately.
The short version
Finalise first; payslips follow. Two doors lead to the list, one by hovering over the pay period and one through the actions bar. Publishing payslips is what notifies employees, so a run is not finished until that step happens. Individual resends live in each employee’s Payslips tab.
Secure viewing belongs to the employee portal, because emailed payslips carry no password. Bulk sending waits on a From address and nothing more. None of it is complicated once the sequence is visible; the confusion comes from steps that live in different corners of the payroll menu. The same accepted answer also covers customising payslip layouts and adding notes, for those who want to go further.
