Paying Bills in QuickBooks Bill Pay: Batch Limits, Autopay, and Check Images
A walkthrough of paying bills in QuickBooks Bill Pay, covering batch limits by plan tier, autopay setup, instant payments, and cleared check images.
Community threads on QuickBooks Bill Pay cluster around the same few moments. Bills hide in the wrong tab. Batch payments stop at an unexplained ceiling. Cleared checks refuse to show an image. The accepted solution to the recurring question of how to actually pay a bill walks the entire flow, start to finish. We have broken out each stage below, with the tier limits and both verification steps included.
Getting to the unpaid bills
Start in All apps, open Expenses & Bills, and select Bills. The Unpaid tab holds everything ready for payment. When a bill you know exists does not appear there, look under For Review before assuming something broke. Entries can sit in review for a time before they surface as unpaid, so that tab is the first place to check. Both tabs live on the same screen, which makes the fix a single click.
How many bills fit in one batch?
Every row carries a checkbox, and the box in the table header selects a batch at once. The cap depends on your service tier. Bill Pay Basic customers can schedule up to 20 bills in a single pass, while Premium and Elite customers can go as high as 50. A run larger than the cap needs a second pass through the same screen. The ceiling matters most at month end, when many bills come due together.
A single bill uses the Schedule payment action in its row. A batch uses the Schedule payment control that appears in the header once rows are selected. Expect one possible interruption along the way: the person making the payment may receive an authentication prompt at their phone number before anything moves.
The settings you confirm before money moves
Six choices shape the payment while it is still under your control. They appear together once you choose Schedule payment.
- Bank account: the account the funds leave. The transfer moves by ACH on the date you select.
- Payment method: an ACH transfer, or a mailed check that Intuit handles.
- Withdrawal date: the day processing begins. Delivery timelines count forward from this date, not from the bill’s due date.
- Payment speed: how quickly the money arrives. Standard ACH carries no added fee, while faster options may add a small one and depend on eligibility.
- Amount: the full balance or a partial payment, whichever suits the situation.
- Note: an optional reference or message, shared with the recipient through the email notification and printed with the check.
Continue takes you to a review of the queued payments. Schedule Payment is the commit step, and nothing moves until you take it.
Can a bill pay itself on autopay?
Recurring bills live on the Recurring tab. Add a bill there, or open one that already exists, and switch autopay on. Confirm the interval at which the series should run, and set it against how often the vendor actually bills. Pick the funding account from the Pay from dropdown, add the payment method for the series, and save. The sequence ends with Save and Schedule Payments, which turns the recurring record into an active payment plan.
Does the Instant speed option cost extra?
It can. On the schedule page, select the bill, open the Payment Speed column, and choose Instant. Set the amount and review the details. The processing fee appears on that same review screen, so the cost is visible before you commit. As with the other faster speeds, eligibility applies, so the option may not appear for every payment. Schedule payments finalizes the transaction.
How do you see the check after it clears?
Bill payments keep their own record under All apps, Expenses & Bills, and Bill payments. Select View details beside the transaction you want to inspect. The View check link appears only after the payment shows Complete and the bank has cleared the check; it sits under the Clearance date section.
Viewing the image may prompt a one-time code to your registered mobile number. That code is separate from the authentication that can appear at payment time, since each guards a different action. After verification, the cleared image opens, and you can view it or download a copy. The download is handy when a vendor asks for proof of payment.
