Users transitioning from QuickBooks Online to QuickBooks Desktop must work through a formal export-and-import sequence rather than a simple file save. The process relies on a dedicated migration tool and involves two distinct phases — requesting the data from within QuickBooks Online, then importing the resulting file into a Desktop installation. We walk through what that entails and where users tend to get stuck.

Starting the Export from QuickBooks Online

The first phase happens entirely inside QuickBooks Online. After signing in, the user navigates to the Export Overview page and selects the option to get started, which presents a download link for the migration tool itself. That tool must be installed on the Windows machine running QuickBooks Desktop before anything else proceeds.

Installation follows a standard wizard: accept the license agreement, proceed through the installation prompts, and finish. The browser page that initiated the download should remain open throughout, as subsequent steps reference it.

Back in the browser, the user advances past the preparation screen and chooses what to export. Two options are available — all financial data, or all financial data without transactions. One notable limitation surfaces here: inventory data for products and services is not included in the export. Users who rely on inventory tracking in QuickBooks Online should be aware that those quantities and valuations will not carry over automatically and will need attention after the migration.

The user then provides a name and email address, submits the request, and closes the dialog. QuickBooks Online begins assembling the export file in the background.

Waiting for the Export File

This is where timing becomes unpredictable. QuickBooks Online prepares the export at its own pace, and the duration depends on the volume of data in the account. The platform sends an email confirmation when the file is ready, and that message can take considerable time to arrive for accounts with extensive transaction histories. Users can also monitor the QuickBooks Online homepage for a status update rather than relying solely on email.

Once the data is ready, the user returns to the Prepare to Export page and follows the online migration instructions. The platform then presents a download link for a QBXML file — the structured data file that Desktop will consume. That file should be saved somewhere accessible, such as the desktop.

Importing into QuickBooks Desktop

The second phase moves to the Desktop side. QuickBooks Desktop must be open but sitting at the No Company Open screen — not loaded into an active company file. The migration tool is then launched separately.

Within the tool, the user browses to the downloaded QBXML file, selects it, and initiates the import. The tool prompts for a company file name and a save location. After that, a certificate window appears. This is a security dialog through which the migration tool requests permission to interact with QuickBooks Desktop and access company data.

This certificate step is the most commonly reported stumbling block. If the certificate window never appears — meaning the migration tool cannot establish a connection to QuickBooks Desktop — the recommended fix is to close the application, right-click its program icon, and launch it with administrative privileges. The same can be done for QuickBooks Desktop itself. Running either program as administrator resolves the permissions conflict that blocks the certificate dialog from displaying.

Once the certificate window is visible, the user selects the option to always grant access, checks the box allowing access to personal data, and confirms. A progress meter then tracks the import, which — like the export — can take anywhere from a few moments to several hours depending on data volume.

Completing the Migration

When the import finishes, the user closes the migration tool and then closes the company file within QuickBooks Desktop through the File menu. The accepted guidance recommends running the migration tool a second time to re-import the file, after which profit and loss reports should be generated to verify that the data landed correctly.
