Moving a QuickBooks Desktop Company File to QuickBooks Online
Users moving a QuickBooks Desktop company file to QuickBooks Online must prepare the file, check size limits, verify data, handle payroll, run the export tool and confirm the transfer.
April 26, 2025: Users report challenges when moving a QuickBooks Desktop company file to QuickBooks Online.
Preparing the Desktop File
You must first update QuickBooks Desktop to the latest release. Open the product and press F2 or Ctrl+1 to open the Product Information window. Confirm that the Total Targets count is below four million. If the count exceeds that limit you need to condense data before proceeding. Verify that you have admin rights to both the Desktop file and the Online account. Ensure the company file is stored locally on your computer; if you use a hosting service ask the provider for a local copy. Make sure the file is in the same country or region as your intended Online subscription.
Checking File Size and Data Integrity
You should verify the company file for issues and rebuild it if necessary. Open the File menu, choose Utilities, then select Verify Data. If the tool finds problems, choose Rebuild Data and follow the prompts. After rebuilding, run Verify Data again to confirm that no errors remain. This step helps avoid corruption during the export. A clean file reduces the chance of missing transactions or mismatched balances after the move.
Payroll Preparation
If you run payroll in QuickBooks Desktop, prepare employee records before migration. Verify that each employee’s information is accurate and up‑to‑date; delete any worker with no pay history in the current calendar year. Run a final payroll cycle, then wait two to three business days for syncing with Online. Plan to finish the migration at least seven days before your next payroll date to prevent delays. This timing gives the system enough time to update payroll tax tables and employee details.
Launching the Migration Tool
Open QuickBooks Desktop and sign in as the company admin. Navigate to the Company menu and choose Migrate this company file to QuickBooks Online. Select Export Your Company File to QuickBooks Online, then click Get started. The program shows a checklist of tasks; review each item and mark it as complete, or choose Complete All to finish them at once. Press Continue when the checklist is ready.
Choosing What to Transfer
You then decide what data to transfer; choose Bring all your company data to move transactions, lists and balances, or select Bring only list and balances if you prefer limited movement. After making your choice, select Yes, sign me in to sign in to your QuickBooks Online account and press Continue. The migration begins; monitor progress until you receive a confirmation that the file has been uploaded. Keep the Desktop application open until the process finishes to avoid interruption.
Finalizing and Verifying the Move
Once the process ends, log into QuickBooks Online to verify that customers, vendors, accounts and items appear as expected. Open key reports such as the profit and loss statement and the balance sheet to confirm that totals match those from the Desktop file. Check that payroll employees are present and that recent payroll transactions have been imported. If any data looks missing, repeat the verification steps and consider running the rebuild utility again before re‑attempting the transfer.
Post‑Migration Follow‑up
After you have confirmed the data in QuickBooks Online, set up your online banking feeds if you used them in Desktop. Re‑enter any manual transactions that were not captured during the export, such as cash advances or petty cash adjustments. Finally, run a quick test of your regular workflow - create an invoice, record a payment and run a payroll preview - to ensure the online environment behaves as expected before you rely on it for daily operations.
