Missouri MODES-4-7 Quarterly Wage Report Fields QuickBooks Won't Auto-Fill
QuickBooks prefills most of the Missouri quarterly unemployment form, but penalty, interest, and outstanding-balance lines must be entered manually.
QuickBooks Desktop handles the bulk of the Missouri Quarterly Contribution and Wage Report — Form MODES-4-7 — by pulling company, payroll, and employee data already stored in the company file. What trips up filers is the handful of lines the software leaves blank, and understanding which of those blanks are genuinely the employer’s responsibility to complete.
The form serves as Missouri’s quarterly unemployment insurance return. QuickBooks automatically populates each employee’s name, Social Security number, total state wages paid, taxable wages, and total contributions due to the state. In a well-maintained company file where all payroll data is current, most users will not need to manually enter anything in those sections. The friction arrives on the lower portion of the form — Lines 8 through 13 — where QuickBooks intentionally leaves fields empty because the information comes from the Missouri Division of Employment Security rather than from payroll records.
Lines QuickBooks Will Not Calculate
Line 8 — Interest Assessment Due to Federal Advances. This field applies only when the state has borrowed federal funds and passes that interest cost to employers. The Division of Employment Security notifies affected employers directly; if no notice arrives, the line stays at zero.
Line 9 — Interest Charges Per Month. Late payments accrue monthly interest on contributions owed, calculated from the original due date to the date actually paid. The interest rate is set by the state and is not embedded in QuickBooks. Employers who miss the deadline need to contact the Division for the current rate and enter the calculated amount.
Lines 10A and 10B — Late Report Penalties. These are tiered. Filing after the first penalty date shown on the form triggers the greater of 10 percent of contributions due or $100. Filing after the second penalty date increases that to the greater of 20 percent of contributions due or $200. QuickBooks does not determine whether a filing is late, so the filer must calculate and enter the appropriate penalty.
Line 11 — Outstanding Amounts. Prior-period balances — whether amounts still owed or credits carried forward — go here. Credits are entered as negative numbers. QuickBooks has no way of knowing about outstanding balances from previous quarters unless they are part of the current payroll-data set, so this line is manual.
Line 12 — Automation Surcharge. This line is historical at this point. The surcharge applied only to first-quarter filings and ended after 2011. Unless the Division has specifically notified an employer of an amount due — which would be unusual — this line should remain blank. The surcharge is not used in future rate calculations and is not reportable to the IRS on Form 940.
Line 13 — Total Payment. QuickBooks fills in the tax withheld and due with the return, but the amount is editable. Filers can adjust it to match the actual payment being submitted, which is useful when rounding differences or partial payments are involved.
Getting Help From Within the Form
The form window itself includes a Help button for general navigation and troubleshooting. QuickBooks also offers a trace feature that shows where each number on the form originated within the company file — useful when a figure looks off and needs to be reconciled against payroll items or employee earnings.
For record-keeping, the form can be saved as a PDF directly from the process workflow, and payroll data can be exported to a spreadsheet for independent review or reconciliation before filing.
The Practical Takeaway
The MODES-4-7 process in QuickBooks is designed to minimize manual entry, but it is not fully hands-off. The auto-filled lines reflect what is in the payroll data; the manual lines reflect what is happening between the employer and the state agency. Reviewing every field — not just the ones QuickBooks left blank — is the step that prevents filing errors and the penalties that follow.
