Missing Workforce invites leave Desktop Payroll employees without online pay stubs
Desktop Payroll users report employees with no online pay stubs or W-2s; the accepted fix walks through Workforce invites, emails, and batch uploads.
Community threads on QuickBooks Desktop Payroll keep circling one complaint. An employer assumes pay stubs and W-2s will appear online for staff, and nothing appears. The accepted answer in these threads points to a consistent cause: Desktop Payroll does not enable QuickBooks Workforce on its own. Every employee has to be invited, and the invitation path hides a few traps.
QuickBooks Workforce is the employee-facing side of the service. Workers log in on their own to view and print pay stubs, and W-2s open up at tax time. Each payroll run can trigger an email telling them a new stub is ready. That self-service promise is what makes a missing setup so noticeable.
The symptoms users report
The pattern breaks into three familiar shapes. In one, payroll runs fine but a worker cannot find any stub or W-2 in Workforce. In another, the employer cannot find the invite controls at all; the menu item simply is not there. In the third, invites go out and current pay appears, while older paychecks never arrive. The accepted answer addresses all three, and it starts earlier than most users expect.
Email addresses come first
The first stop is the Employee Center, not an invite screen. Each employee profile needs a contact email on the Address and Contact tab, saved before anything else. Without an address there is nowhere to send an invitation, so the rest of the process has nothing to act on. New hires should get the same treatment: add the worker through Add New, and fill in the email on the same tab during setup. You can save time later by making this a standard part of onboarding.
Why doesn’t the invite option appear?
The invite controls live under Employees, then Manage Payroll Cloud Services. When that item is missing from the menu, the accepted answer gives a direct remedy: update QuickBooks. Older installs do not carry the entry, so no amount of searching will find it. After the update, open the same menu, turn the QuickBooks Workforce status on, and select Invite Employees.
Sign-in matters at this point. The prompt asks for an Intuit Account, and it should belong to the person who owns the payroll license. A different account can stop the flow right there. Once signed in, select the employees, confirm each email address, and send. A status of Invited in the status column means the invitations went out.
How do past pay stubs reach Workforce?
This stage catches the most people. An invite creates the account, but it does not move history. Paychecks from earlier runs must be pushed to the service by hand, and the route is not obvious.
From there the path runs through File, then Print Forms, then Print Pay stubs. In the selection window, widen the Checks Dated range to cover the stubs you want employees to see. The accepted answer recommends current calendar year paychecks only. It also recommends sending them in batches of 100 to 200, because larger sends can error out. Choose Send Online, then, in the Send/Receive Data window, select Send All and enter the payroll service PIN. That PIN prompt surprises some users, since it appears well after the invite screens.
Each payroll run still needs a send step
One habit change keeps the feature alive after setup. When payroll finishes, the Confirmation and Next Steps screen offers a send option. Choose Send to Intuit, then confirm in the Send/Receive Data window and enter the PIN again. That is what pushes each new stub to employee accounts. Skip it and payroll completes on your end while workers see nothing new on theirs. A finished run on the desktop does not guarantee a delivered stub online; the send step is the bridge.
The outcome
When the full sequence is done, the feature behaves as promised. Invited workers sign into Workforce and view current stubs on their own, and W-2s become available at tax time. Each payroll run also triggers a notice to invited staff. The lesson from the threads is plain: Workforce works in Desktop Payroll, but only after someone walks the whole path of emails, invites, sends, and batch uploads. Nothing in the desktop product automates it.
