Missing payments in the QuickBooks Online Bank Deposit window have a simple fix
QuickBooks Online users report customer payments missing from the Bank Deposit window; the accepted fix points to the Deposit to account setting.
A familiar snag is drawing attention again among QuickBooks Online users. A customer payment is recorded, the money is real, yet the Bank Deposit window lists nothing to select when it comes time to record the deposit. The accepted resolution points to a single setting on the payment itself: the account named in the Deposit to field.
The symptom looks like a lost payment
The pattern is consistent. You receive a payment, apply it to an invoice or record it as a sales receipt, and close the form. Later, you open the Bank Deposit window to group the day’s takings, and the payment is absent from the list. Nothing on the screen hints at where it went. The temptation is to type the deposit in by hand. Resist it. That creates a second entry for money already booked, and the duplicate will surface at reconciliation.
Payments can land somewhere other than the deposit queue
QuickBooks Online treats Undeposited Funds as a staging account for money received. A payment that names Undeposited Funds in its Deposit to field waits there, and the Bank Deposit window draws exclusively from that queue. A payment that names a checking account, or any other account, is booked straight to that account instead. The window never sees it. The payment is not lost or corrupted. It took a different route and will keep sitting outside the queue until someone edits the form. If you check the register, the amount is often already there, which is why the register and the deposit list disagree.
The fix: redirect the payment into Undeposited Funds
The accepted solution is a short edit on the payment, followed by a fresh look at the deposit window.
- Open the sales transactions list. From the main menu, go to All apps, then Sales & Get Paid, then Sales transactions.
- Find the invoice payment or sales receipt you expected to deposit, and open it.
- Review the Deposit to field on the form. If it names anything other than Undeposited Funds, change it.
- Save the form, using whichever save option suits you.
- Open a new Bank Deposit from the New menu. The payment now appears among the payments available to include.
Sales receipts carry the same field, so the steps apply to them as well. Once the payment sits in the holding account, you can group it with others taken the same day. That grouping is the point of the exercise: one deposit in your register can match one line on the bank statement.
Removing a payment from a deposit already recorded
A related complaint comes from users who bundled a payment into the wrong deposit. The correction runs the other direction. Open a new Bank Deposit from the New menu, locate the deposit in question, and select its date link to open the full form. Clear the checkbox beside the payment and save. The payment drops off the deposit and returns to Undeposited Funds, where it shows up again as available for the next one you record.
Connected bank accounts add one more wrinkle
The accepted answer includes a preliminary check for anyone using online banking. If a payment is missing from the sales transactions list altogether, download your latest bank activity and categorize it first. An uncategorized bank line does not surface as a payment. In many cases the missing entry is simply waiting in the review queue rather than hiding in the books.
The window mirrors how banks settle deposits
The strictness is deliberate. Card and check payments taken on the same day often arrive at the bank as one lump sum, not as separate amounts. Undeposited Funds exists so your records can reproduce that lump sum. The trade-off is that the software routes each payment according to the account named at the moment you recorded it, and it does not revisit that choice later. When a payment skips the deposit window, the window is not broken. The payment was pointed somewhere else, and one field edit puts it back. The reliable habit is to leave the Deposit to field set to Undeposited Funds when you record payments, then batch them into a single deposit at the end of the day.
