Michigan UIA Form 1028 Wage Detail: What QuickBooks Fills and What You Must Check

QuickBooks prefills most of Michigan's quarterly wage detail continuation form, but certain fields require manual review before electronic filing through MiWAM.

When preparing Michigan’s unemployment quarterly filing — specifically Form UIA 1028, Section 2 Continuation, the Wage Detail Continuation Report for E-Filers — QuickBooks desktop payroll users generally find that the software handles most of the data entry automatically. The friction point is not the generation itself but knowing which fields QuickBooks leaves blank and understanding what the state of Michigan requires before the return will be accepted.

All Michigan employers must file this return electronically through the state’s MiWAM portal; registration is required before filing. QuickBooks produces the form, but the output is a starting point, not a finished filing in every case.

What QuickBooks Prefills

When company, payroll, and employee data are all set up correctly in QuickBooks, the software populates the majority of the fields on the wage detail continuation. In many situations, a user whose records are complete will not need to manually enter additional information beyond what QuickBooks generates. The key word is “most” — not all fields are covered, and the gaps matter.

Fields That Need Manual Attention

Two columns on the continuation form commonly require user input or verification, and both carry specific rules that QuickBooks cannot determine on its own.

Family Owned Designation

The Family Owned column should be left blank in the typical case. It only applies when the business qualifies under a specific ownership structure: the majority interest must be held by the employee alone, by the employee’s son, daughter, or spouse, by any combination of those individuals, or by the employee’s mother and/or father when the employee is under 18. When the business meets that definition, the user enters the letter “F” in the column. QuickBooks has no way of knowing your ownership structure, so this field is entirely manual.

Social Security Numbers

Michigan requires a Social Security number for every employee listed on the wage detail before the state will process the wage amounts. If an employee record in QuickBooks is missing this number, it will not appear on the generated form, and the filing will be incomplete. Users should verify that every employee setup screen contains a valid SSN before generating the form.

Gross Wages

The wage detail must cover every employee to whom wages were actually paid during the calendar quarter. Two distinctions matter here, and getting them wrong produces an inaccurate filing. First, the form calls for wages paid during the quarter — not wages earned but not yet paid. Second, wages should not be reported for any worker whose services are excluded from coverage under Section 43 of the Michigan Employment Security Act. The gross wage figure for each employee is the total amount actually paid to that person during the quarter.

Tracing Numbers Back to QuickBooks

When a user needs to verify where a specific figure on the generated form originated — or when something looks off — the form window itself includes a Help button. Exporting and Saving the Form

Two ancillary tasks come up regularly with this filing. Users who need to summarize their payroll data in a spreadsheet can export to Microsoft Excel, and those who need a static record of the completed form can save it as a PDF. Both options are available from within the form workflow.

The Practical Takeaway

The form generates cleanly when employee records are complete and ownership designations are understood ahead of time. The users who run into trouble are typically the ones who assume every field is automatic and submit without reviewing the Family Owned column, confirming Social Security numbers are present, or checking that gross wages reflect amounts actually paid rather than amounts earned. A manual pass through the generated form before uploading to MiWAM is the step that separates a clean filing from a rejected one.
