Maryland Form MW506 in QuickBooks: Filing Frequencies and Workflow
QuickBooks prefills most of Maryland's Employer Return of Income Tax Withheld, but employers must know which filing frequency applies and when to file zero returns.

QuickBooks Desktop and QuickBooks Online with Enhanced or Full-Service Payroll both support Maryland Form MW506 — the Employer Return of Income Tax Withheld — but users routinely ask which filing frequency the state expects and how much of the form QuickBooks actually completes on its own. The short answer: QuickBooks prefills the bulk of the form from your existing company, payroll, and employee records, and in most cases you will not need to enter anything beyond what the software already populated. The longer answer depends on which withholding tier the state has assigned to your business.
What Form MW506 Covers
Maryland requires employers to use Form MW506 to remit state income tax withheld from employee paychecks. The form applies to employers designated as monthly, quarterly, annual, or seasonal filers. If the state has classified your business as an accelerated filer, you would use Form MW506M instead — QuickBooks will not redirect you automatically, so confirm your filing status with the state before preparing the return.
The remitted amount can include penalty and interest if applicable.
Filing Frequency Thresholds
Maryland assigns filing frequency based on how much income tax you withhold per quarter. The tiers work as follows:
- Monthly — Employers with more than $700 in withholding during any single quarter must remit on a monthly basis.
- Quarterly — Employers with less than $700 in withholding per quarter remit quarterly.
- Annual — Employers with less than $250 in withholding per quarter remit once a year.
- Seasonal — Employers who operate only during certain months can request seasonal filing status. The state must grant prior approval, and once approved, you file reports only during the months your business is active.
Zero Returns Are Mandatory
A common point of confusion: even if no tax is owed for a filing period, a return is still required. Maryland allows zero reports to be filed electronically or by telephone. QuickBooks can generate the zero return for e-filing, but the obligation to file does not disappear simply because there was no withholding during the period.
Navigating to the Form in QuickBooks
To open and process Form MW506 from QuickBooks Desktop, follow these steps:
- From the Employees menu at the top of the screen, select Payroll Forms or Payroll Center, depending on your version.
- In the Payroll Center, click the File Forms tab.
- Select Form MW506 from the list of available state forms. If it does not appear, verify that your state withholding setup lists Maryland and that your payroll subscription is active.
- Click Review Form or Create Form to open the interview-style wizard.
- QuickBooks will display a checklist of data it pulled from your payroll records — employee wages, withholding amounts, and company information. Review each section.
- On the form itself, QuickBooks prefills most fields automatically. Scroll through each field and look for blank entries or fields the software flagged for manual input.
- Enter any missing information. In most cases, if all company, payroll, and employee data was already entered correctly in QuickBooks throughout the period, no manual entries will be needed.
- Click Check for Errors before filing to catch any missing or inconsistent data.
For QuickBooks Online users with payroll enabled, the path is slightly different:
- Navigate to Taxes in the left-hand navigation panel, then select Payroll Tax.
- Click Annual Forms or Quarterly Forms depending on your filing frequency, or look under the State Taxes section.
- Locate MW506 in the Maryland forms list and select Create Form or View.
- Follow the on-screen prompts to review prefilled amounts and enter any missing data.
E-Filing and E-Paying
QuickBooks supports electronic filing and electronic payment for Maryland Form MW506 when your payroll subscription includes that service. After reviewing the form, you can select the option to e-file and e-pay directly from the form window. The software will prompt you to confirm bank account details and the payment date before submitting.
Saving a Copy
After filing — or before, if you want a draft for review — you can save a copy of the completed form. From the form window, use the save or print option to retain a PDF copy for your records. This is worth doing for every filing period, including zero returns, in case the state questions whether a return was filed.
When Fields Are Missing or Incorrect
If QuickBooks did not fill in a field and you are unsure what belongs there, the Help button on the form window itself provides field-level guidance specific to MW506. The most common cause of blank fields is missing or outdated employee withholding setup — specifically, employee records that do not reflect Maryland as the withholding state or that lack a local jurisdiction entry where one is required.
Before filing, verify that each employee’s record includes the correct state and local withholding information. Correcting employee records mid-period can change the prefilled amounts on the form, so review the form again after making any adjustments.
