QuickBooks Time includes a built-in time off management system that handles codes, accrual tracking, and approval workflows — but the configuration options carry a few quirks that catch teams off guard, particularly around code types, auto-approval behavior, and notification routing.

How Role Permissions Shape the Workflow

The time off system operates on a permission hierarchy. Admins can set up time off codes and define accrual rules for categories like holiday, sick, and personal time. Both admins and managers can enter time off in bulk on behalf of team members and approve or deny incoming requests.

Depending on how the account is configured, team members either enter time off directly or submit requests that flow through an approval process. In both scenarios, team members see a projected hour total — the system calculates how many hours they are predicted to have available on the requested date, which helps them plan ahead.

Enabling Time Off and Configuring Who Can Enter It

Activation lives in Company Settings under the Time Options tab. There, administrators choose whether time off entry is restricted to admins and managers or extended to all team members. Allowing admins and managers to enter time off through the web dashboard is recommended for day-to-day management.

Administrators can also restrict which days of the week time off requests are permitted, giving companies a way to block submissions on non-working days without manual policing.

The Approval Setting and Its Auto-Approval Exceptions

One of the more nuanced areas is the approval requirement. When enabled, every time off request a team member submits sits in a pending state until someone approves it, at which point it converts into a timesheet entry.

However, certain users bypass the approval queue entirely. Requests from admins, managers submitting time off for groups they oversee, and anyone holding the broad permission to manage all team members’ timesheets are auto-approved regardless of the setting. Teams that assume the approval gate applies universally can end up surprised when a manager’s own time off lands on the calendar without review.

Administrators can optionally allow managers to edit team members’ existing time off balances directly — a useful tool for corrections, but one that should be granted with an understanding of the access it opens up.

Creating Time Off Codes — and the Limitation You Cannot Undo

Time off codes are created under Feature Add-ons. Each code needs a name and a classification as either paid or unpaid. The system supports assignment to individuals or to groups, and when a code is assigned to everyone, any new team member added later inherits that code and its accrual rules automatically.

The critical limitation: once a code is saved, its paid or unpaid designation is permanent. A paid code cannot be converted to unpaid later, and vice versa. Teams that need to change the classification must create a new code and migrate assignments over — there is no edit path.

Notification Routing

Time off notifications operate at two levels. Company-wide defaults are set in Company Settings under the Notifications tab. Per-team-member overrides are available through the My Team section, where admins can choose web, mobile, or email delivery for specific events.

The configurable notification triggers include alerts when a team member enters time off (available separately for admins and managers) and alerts when time off is approved, denied, edited, or canceled.

Viewing Balances and the Accrual Ledger

Team members can view their own time off entries and balances, including the status of any pending requests — labeled as pending, approved, denied, or canceled.

For administrators and managers, the Accruals and Balances tab provides a ledger view per team member and per time off code. A useful feature here is the date selector: changing the date projects what a team member’s balance will look like at a future point, accounting for predicted accruals. This forward-looking view helps answer questions about whether someone will have enough banked hours for a planned vacation without manual math.

Integration Considerations

The time off module syncs with several payroll and accounting platforms, including QuickBooks Online, QuickBooks Desktop, ADP Run, Gusto, and Xero. Teams running QuickBooks Desktop alongside QuickBooks Time should confirm that time off data flows correctly into payroll processing, as the integration behavior depends on the payroll environment connected to the account.
