QuickBooks Desktop payroll users responsible for filing Maine’s quarterly unemployment contributions report sometimes struggle to locate and complete Schedule 2 — the employee wages listing attached to Form UC-1. The form itemizes each worker’s Social Security number and UI gross wages paid during the quarter, and while QuickBooks auto-populates most of it, several fields demand manual attention before the return is ready.

What Schedule 2 Contains

Schedule 2 is the employee-level detail behind Maine’s unemployment insurance filing. Each row lists an individual worker, their SSN, and the gross wages subject to unemployment insurance for the reporting quarter. QuickBooks draws on existing company, payroll, and employee records to prefill these entries. When all payroll data has been entered correctly throughout the quarter, most users find the form requires little to no additional input.

The key is reviewing what QuickBooks did not fill in automatically rather than assuming the form is complete the moment it opens.

Locating the Form

To access Schedule 2 within QuickBooks, navigate to your payroll forms workflow — typically through the Employees menu, then Payroll Forms, or via the Payroll Center where state quarterly filings are listed. Maine’s UC-1 and its attached schedules appear among the available state forms once your company profile identifies Maine as the filing state. If the form does not appear in the list, verifying that your payroll subscription and state settings are properly configured usually resolves the issue.

Fields That May Need Manual Entry

Several fields on Schedule 2 fall outside what QuickBooks can determine from existing payroll data and require manual review:

UC Excess Wages — This figure represents the difference between an employee’s UC Gross Wages Paid and their UC Taxable Wages Paid. QuickBooks calculates it based on the wage base and the employee’s year-to-date earnings, but the result should be verified against your own records, particularly for employees who reached the wage ceiling mid-quarter.

Seasonal Employment Checkbox — Mark this box for any employee whose wages were paid for services performed within an established seasonal period. QuickBooks has no way of knowing whether a given worker qualifies as seasonal under Maine’s rules, so this determination is entirely manual.

Female Employment Checkbox (E-Filers Only) — Electronic filers must indicate whether each employee is female. The count of female employees who worked during the 12th-of-the-month reference periods flows to the appropriate column on line 2 of the main UC-1 form.

Worked 12th of the Month — Months 1, 2, and 3 (E-Filers Only) — For each of the three months in the reporting quarter, check the box if the employee worked during, or received pay for, the pay period that includes the 12th day of that month. The tallies from these checkboxes roll up to line 1 on Form UC-1. Because QuickBooks cannot infer whether a specific employee was active during a particular pay period that happens to include the 12th, this field set requires manual confirmation for every employee on the schedule.

Electronic Filing vs. Paper Filing

One point that catches some users off guard: if you file electronically, do not mail Schedule 2. The form is generated and reviewed within QuickBooks, but the paper version is not sent to the state when e-filing. The seasonal, female employment, and 12th-of-the-month checkboxes apply specifically to electronic filers — paper filers do not need to complete those fields on Schedule 2 itself.

Verifying the Numbers

For users who want to confirm where QuickBooks pulled specific figures from, the form window provides hyperlinks beneath the unemployment insurance and withholding calculation summaries. Clicking those links traces amounts back to their source transactions within the company file, which helps reconcile any discrepancies between the prefilled values and internal payroll records.

The built-in Help button on the form window itself offers additional field-level guidance for any entry QuickBooks did not auto-populate, covering edge cases that fall outside the standard quarterly filing scenario.

When Data Does Not Transfer cleanly

If Schedule 2 comes up blank or partially populated despite having run payroll for the quarter, the underlying issue usually traces back to incomplete employee setup — missing SSNs, incorrect state tax assignments, or payroll items not mapped to unemployment insurance wages. Reviewing each employee’s profile and verifying that wages are properly coded to Maine UI ensures the form populates correctly on the next generation.
