Logo Upload Failures and Display Glitches on QuickBooks Online Sales Forms
QuickBooks Online users encounter rejected logo uploads and formatting problems on invoices, estimates, and sales receipts when image specifications fall outside supported parameters.

QuickBooks Online lets businesses attach a logo to invoices, estimates, and sales receipts through the Custom form styles menu, but the platform’s image requirements are strict enough that many uploads fail silently or display incorrectly. The problem surfaces most often when a file exceeds the supported color depth, uses the wrong color space, or arrives in a non-square aspect ratio.
The Supported Format and Size Requirements
QuickBooks Online accepts logos in a handful of raster formats: GIF, BMP, JPG, JPE, and JPEG. Files must remain under 10 MB, and color depth cannot exceed 24 bits. The platform expects square images — rectangular logos may render unpredictably on the final form. Perhaps the most common stumbling block is color space: QuickBooks requires RGB. Logos exported from professional design tools frequently arrive in CMYK, which the upload tool will reject or render incorrectly. Users must convert those files to RGB before attempting to upload them.
Adding a Logo to a New or Existing Form
To attach a logo, navigate to the Settings gear, select Custom form styles, and then choose New style to create a fresh template. For existing templates, locate the desired form in the list and select Edit from the Action column. Under the Design tab, the option to add a unique logo appears. Selecting the upload prompt opens a file browser; choosing the image and confirming with Done commits the change to the template.
Adjusting Placement and Size
Once uploaded, the logo can be repositioned. Returning to the form style and selecting Edit, then navigating back to the Design tab, reveals the Make logo edits option. QuickBooks offers three placement positions — Left, Center, and Right — and three size presets: Small, Medium, and Large. After selecting the preferred combination, selecting Done saves the layout.
Removing a Logo
If a logo needs to come off a form entirely, the process is straightforward. Open the relevant form style by selecting Edit, then choose Hide logo from the Design tab. The template retains all other formatting and simply drops the image from the printed and emailed output.
Troubleshooting Rejected or Corrupted Uploads
When a logo upload fails, the cause almost always traces back to one of the file specifications. Two fixes resolve the majority of rejected uploads:
Convert the file format. Open the original logo in a basic image editor — Microsoft Paint on Windows or Preview on Mac both work. Choose Save As, select JPG as the output type, and give the file a new name rather than overwriting the original. Attempt the upload again with the converted copy.
Fix the color space and depth. Open the original file in an image editor and inspect the color depth and format settings. If the file uses CMYK or a color depth above 24 bits, adjust the settings to standard RGB. Save the corrected version as a new file — preserving the original ensures the source image remains intact if further adjustments are needed.
Location Tracking as a Related Branding Step
Businesses operating across multiple offices or regions sometimes want location-specific branding tied to their sales forms. QuickBooks supports this through location tracking. Under Settings, select Account and settings, then Advanced. In the Categories section, selecting the pencil icon reveals a checkbox to track locations. Once enabled, locations can be created by navigating to Settings, then All lists, then Locations, and selecting New. On individual invoices, estimates, or sales receipts, a Location dropdown then appears, allowing the user to tag each transaction accordingly before applying a customized template.
Plan Limitations
Logo customization is restricted on QuickBooks Online Free and QuickBooks Online Lite. Users on those tiers who need full branding tools must upgrade their subscription, accessible through Settings, then Subscriptions and billing.
