Leave allowance templates in QuickBooks Payroll Australia, and the $0 loading trap
Australian QuickBooks Payroll users can manage leave centrally with allowance templates, but a missing pay rate can reduce leave loading to zero.
Australia’s payroll desks keep bumping into the same wall in QuickBooks Online Payroll: leave entitlements maintained one employee record at a time. A community question about leave allowance templates drew a formally accepted answer from Intuit. The answer sets out central template management for Australian businesses, and it flags one pay rate gap that can quietly reduce leave loading to zero.
Leave managed one employee at a time
The question behind the thread is a familiar one for anyone running Australian payroll. Casual and permanent staff carry different entitlements, and personal or carer’s leave can be tracked in days or in hours. Set that up by hand, profile by profile, and the workload compounds with every hire. Any change to an accrual later means reopening records one at a time.
What does a leave allowance template do?
A template holds the leave rules for a whole group of employees. You build it once, add employees to it, and the connection runs in one direction. Adjust the template afterwards and every assigned employee picks up the change automatically. That is the entire point of the feature: one edit instead of dozens, and no profile left behind on an old accrual.
Three default templates since 28 August 2020
New files do not start from nothing. Intuit configures three default leave allowance templates for any business created from 28 August 2020 onward. One is aimed at casual employees. The other two are for permanent staff, and they differ on a single point: a 17.5% annual leave loading. Both permanent variants also handle personal and carer’s leave in hours rather than days, which matters when you reconcile balances against a days-based policy.
The defaults can run as they stand, or you can adjust their settings to suit the business. The accepted answer also walks through building a template from scratch, and those steps carry the detail worth knowing before you touch the Pay Conditions menu.
How do you build a template from scratch?
Open All apps, select Payroll, then Employees. Under Pay Conditions sits Leave Allowance Templates, and Add starts a new one. Only leave categories that automatically accrue appear in the Leave Allowances list, so anything missing there must be corrected at the settings level first.
Name the template and choose when the leave year should start. The Leave Loading section comes next. It lets you calculate loading from a pay category other than the employee’s primary rate; left blank, the primary rate applies. Fixed pay categories cannot be selected here at all. A separate Enabled Leave Categories section decides which leave types assigned employees can access. Finish in the Leave Allowances section, then Save.
The $0 leave loading trap
This is the detail most likely to sting. Pointing loading at an alternate pay category does not finish the job. Each employee also needs a rate for that category on their own Pay Rates page. Without that rate, the loading calculates as $0 even though the template looks complete.
The template carries one rule for many people, but rates stay per employee. We flag this split because the symptom reads like a calculation bug when it is really missing data. Check it before the first pay run under a new template.
Which settings can you change inside a template?
The Leave Allowances section offers a toggle to override the displayed values and enter your own. Not everything is editable there. Whether a category accrues automatically is decided on the Payroll settings page under Leave categories, and the template cannot change it. If a category is set not to accrue automatically, balances move only when someone posts a manual adjustment.
Unit type depends on whether the category is tracked. Untracked categories accrue in days, weeks, or hours. Tracked categories offer standard days per year, standard weeks per year, hours per hour worked, or hours per pay run. Each category also carries a control over whether employees can apply for that leave.
The short version for Australian admins
Templates cut leave administration to one edit per change rather than one edit per person. Files created since 28 August 2020 begin with three defaults covering casual staff and permanent staff, with or without loading. The live wire is loading based on an alternate pay category. Verify a matching rate on the employee’s Pay Rates page first, or the loading will compute as nothing.
